**About the Role:** As a CBRE Workplace Experience Coordinator, you will be the integral administrative anchor of our corporate office in Rancho Cordova, CA. This dynamic, client-facing role is crucial in creating an exceptional and efficient workplace environment for our employees, vendors, and visitors. Operating within the Workplace Experience function, you will be responsible for delivering world-class customer service and managing a diverse range of front desk and administrative duties. The ideal candidate will be highly adaptable, possess strong communication and interpersonal skills, and demonstrate proactive ownership in maintaining an optimal and welcoming atmosphere. In this role, you will also play a crucial part in assisting in the efficiency of our mailroom operations. Your responsibilities will include assisting with sorting, distributing, and processing incoming and outgoing mail and packages, ensuring accurate and timely delivery to the intended recipients within the office. This position supports a 3-story corporate office which serves as a central hub for local hospital and clinics. **What You’ll Do:** + First point of contact for all those entering the facility. Greet them with a friendly and welcoming demeanor. Issue visitor and parking passes and follow security protocols. + Provide extensive customer service, ensuring a positive experience for all external and internal stakeholders. + Manage a variety of front desk operations and administrative tasks with precision and efficiency. + Assist with mailroom operations, including receiving, sorting, and applying postage for outgoing mail. Collaborate with the lead mail services associate to ensure efficient mail distribution within the building. + Build a strong network of connections with onsite coworkers to enhance operational efficiency. + Assist with space management programs, accurately documenting seating arrangements to facilitate employee location. + Prioritize tasks effectively and demonstrate strong communication skills to manage multiple demands. + Exhibit adaptability and flexibility in a fast-paced environment where priorities can shift. + Proactively identify tasks and take initiative during downtime to maintain an optimal office environment, taking full ownership of the space. + Set up and troubleshoot projectors and other audio-visual equipment for meetings and presentations. + Assist with the setup and preparation of meeting rooms for various events, including training classes and all-hands meetings. + Manage and maintain the meeting room calendar, ensuring efficient scheduling and utilization. + Rearrange meeting room furniture as needed for different event requirements, requiring the ability to lift up to 50 lbs. + Monitor and maintain office common areas, including checking coffee machines and performing various related tasks. + Oversee stock levels of office supplies and submit timely replenishment requests. + Utilize Microsoft Office Suite (Outlook, Word, Excel) and Google Suite to track information, manage schedules, and perform administrative duties. + Effectively manage and execute a multitude of different tasks simultaneously. + Organize and manage on-site events. This includes securing event space, set up and tear down of the room, and delivery of supplies. + Follow property-specific security and emergency procedures. Notify appropriate parties to ensure the safety of all individuals in the building. + Coordinate with vendors who supply services or goods to the workplace. + Explain detailed and/or complicated information within the team. Follow specific directions as given by the manager. + Impact through clearly defined duties, and methods and tasks are described in detail. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion. **What You’ll Need:** + High School Diploma or GED with up to 4 years of job-related experience. + Ability to follow basic work routines and standards in the application of work. + Communication skills to exchange straightforward information. + Working knowledge of Microsoft Office products. The minimum salary for the Workplace Experience Coordinator position is $45,000 annually [or $21.63 per hour] and the maximum salary for the Workplace Experience Coordinator position is $55,000 annually [or $26.44 per hour]. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
