**About the Role:**
As a Workplace Experience Coordinator, you will be responsible for managing the provision of FM services (hard and soft) for our client, including management and control of all private facilities and coordination of internal teams and external service providers.
You will also be in charge of reception, providing a professional and welcoming service according to the contract specifications, and will support various administrative and operational activities as needed.
Reception:
•Be the primary point of contact for all inquiries related to the spaces under your responsibility.
•Welcome visitors and provide support to visitors and their hosts in the use of the facilities (lighting, climate control, organization of audiovisual equipment, etc.), including the delivery of identification cards when necessary.
•Manage mail, packages, couriers, and deliveries.
•Generate activity reports (completing existing documents and creating new ones if necessary).
•Ensure compliance with the company's internal procedures.
Event Management:
•Supply management: ordering and organizing supplies such as beverages, catering, etc.
•Catering reception and organization: Receiving and preparing catering.
•Preparing rooms in advance: setting up tables, chairs, decorations, and checking the general layout.
•Welcoming guests on the day of the event, managing registrations and the guest list if necessary.
•Preparation and installation of Audio Visuals with the help of the audiovisual team (remote).
Operational:
•Management of maintenance plans and programs, monitoring of works.
•Act as an interface between the client and the technical departments responsible for the common or private areas: management of service requests and follow-up of works.
•Planning, supervision, and direction of service providers carrying out on-site FM operations, respecting safety regulations.
•Planning and conducting periodic checks, routine inspections, and monitoring of procedures by the on-site team.
•Managing and preparing annual CBRE contracts with recurring service providers to ensure compliance with specifications and safety standards.
•Controlling and supervising subcontractors, preparing budgets for work performed outside the scope of the contract: commissioned work, one-off work, and projects.
•Making proposals for annual projects and improvements to the operation of on-site equipment.
Client Relationship:
•Ensure compliance with SLAs/KPIs in accordance with the equipment maintenance program and reactive tickets.
•Ensure the relationship with the client and operational follow-up.
•Manage client requests.
•Support the management of client projects.
•Report incidents internally on the dedicated platform.
•Carry out the necessary procedures to obtain authorization for certain on-site operations.
•Participate in meetings with clients.
Finance:
•Ensure regular budget monitoring with internal CBRE regional teams.
•Creation of purchase orders and follow-up of service provider invoicing.
•Participate in meetings with internal CBRE regional teams.
QHSE:
•Ensure compliance with on-site regulations.
•Complete monthly QHSE declarations, QHSE self-assessments for the client's site, and risk situation reports (Harbour).
•Attend compliance and weekly meetings.
•Conduct QHSE training for newcomers.
