Responsible for overseeing daily operations of the external warehouse, ensuring correct storage and movement of Medical Devices products and components. Ensures GMP compliance, operational quality, inventory accuracy, and customer satisfaction while coordinating cross-functional processes and continuous improvement projects.
Key responsibilities
+ Oversee daily operations of the external warehouse with emphasis on shipping, receiving, and storage of Medical Devices products and components.
+ Maintain and enforce GMP standards to ensure compliance with company policies and regulatory requirements.
+ Ensure appropriate maintenance of warehouse facilities and equipment in accordance with established standards.
+ Supervise customer-focused logistics processes to guarantee flawless execution of outbound services aligned with customer expectations and strategic objectives.
+ Deliver exceptional customer service to both external and internal stakeholders.
+ Manage customer expectations and ensure new requirements are embedded by implementing required process changes prior to roll-out.
+ Proactively identify opportunities for operational improvement and evaluate their alignment with strategic goals.
+ Support the annual Capital and Business Plan process within the assigned scope.
+ Ensure adherence to company quality standards, internal policies, and local legal/regulatory requirements across the team and with outsourced partners.
+ Lead investigation and documentation of Non‑Conformance Events, including Investigation Reports and Corrective/Preventive Actions, and record findings in tquality system.
+ Coordinate and support internal and external audits, including regulatory and financial audits, to ensure compliance and readiness.
+ Prepare and maintain reports subject to SOX controls, ensuring appropriate documentation and internal control compliance.
+ Recommend and/or implement changes to operating procedures and propose equipment or facility modifications related to Inventory Management.
+ Define, monitor, and communicate realistic goals and KPIs for the area, and report performance to relevant stakeholders.
+ Interface effectively with Commercial Planning, Regulatory Affairs, Quality Compliance, Operations, IM, and Finance to manage cross‑functional processes and resolve issues.
+ Manage inventory accuracy and associated processes, including expired product control, quarantine, and recall management.
+ Establish and operate within approved budgets, exercising cost control for the area.
+ Lead implementation of new 3PL relationships or operational changes for entry into new commercial markets, including consignment arrangements and logistics process adjustments.
+ Ensure correct application of established procedures across the team and with third‑party providers.
+ Develop and implement preventive measures and continuous improvement initiatives within the scope of responsibility.
+ Provide operational support to other functions as required by business needs and supervisor direction.
+ Promptly notify the supervisor of any irregularities or conditions that may threaten safety, quality, or integrity of personnel, customers, equipment, facilities, or products.
+ Promote and ensure compliance with company policies across all compliance areas (Safety, Environmental, Quality, Records Management, HR, Security, etc.).
+ Participate in training programs and inform the supervisor if additional training is required to perform assigned duties.
+ Contribute to projects and special activities that support the company’s strategic objectives.
+ Coordinate processes and communication between the warehouse and transportation providers, including resource allocation and scheduling.
+ Identify cost‑reduction opportunities and establish guidelines for urgent or exception deliveries.
+ Conduct monthly Gemba Walks to monitor implementation and adherence to quality standards (temperature control, service level agreement).
+ Oversee 3PL quarantine and destruction surveillance to ensure proper segregation, identification, and compliance with product movement documentation.
+ Coordinate and supervise W2W and Cycle Count processes in the warehouse.
+ Ensure that process changes are correctly implemented in the 3PL quality system.
+ Create and manage Purchase Orders required by Operations.
+ Supervise and provide backup support to the Medical Plans team.
+ Administer departmental policies and procedures and recommend changes, additions, or deletions when appropriate.
+ Perform other tasks assigned by the supervisor as required to meet operational needs.
**Required qualifications**
+ Bachelor’s degree in Engineering, Business Administration, Supply Chain, or a related field. (Master’s degree preferred.)
+ Minimum 4 years of related work experience.
+ Experience in warehouse operations and inventory management.
+ Experience working under FDA-regulated operations or similar regulatory environments.
+ Proven experience with Good Storage Practices / warehouse best practices (storage, quarantine, expired product control, cycle count).
+ Knowledge of HIPAA requirements and handling of sensitive health-related information.
+ Knowledge of Sarbanes‑Oxley (SOX) controls and related reporting requirements.
+ Proficiency in Microsoft Office (Excel, Word, PowerPoint) — required.
+ Bilingual in Spanish and English (verbal and written) — required.
+ Strong leadership, communication, problem‑solving, and stakeholder‑management skills.
**Preferred qualifications**
+ Experience preparing reports subject to SOX controls.
+ Familiarity with Medical Plans administration or management processes.
+ Experience with 3PL implementation and management.
+ Experience with Power BI or similar data‑visualization tools.
+ Advanced certifications or training in supply chain, quality, or regulatory compliance (e.g., Lean, Six Sigma, GMP-related training).
