The Vendor Procurement Specialist supports the Vendor Procurement Manager by collaborating with internal stakeholders to help streamline aspects of the contracting process and offers broad support and assistance with procurement-related activities. This role contributes to contract lifecycle management, facilitates compliance with procurement policies, and supports risk mitigation. The Specialist works closely with internal stakeholders to ensure timely updates and accurate records across vendor engagements.

Essential Responsibilities:

Support the Vendor Procurement Manager, the contract business owner and other internal stakeholders in the overall contracting process where needed, to help meet deadlines and aid in overall best practices.Research and identify prospective vendors.Assist in negotiating with vendors on new contracts, as well as renewing contracts and/or amendments to contracts.Assist in coordinating review, revision and execution of contracts and amendments, ensuring all required exhibits or language are included for compliance purposes.Find and organize historical executed agreements relevant for the Legal review process, when needed.Work with Delegation Oversight team to ensure full visibility and adherence to internal processes for vendors requiring pre delegation activity for delegates or FDR’s.Assist in obtaining W9 and Direct Deposit for Vendors Form from vendors and provide to Finance for inclusion in vendor payment systemManage contract depository and catalogue of current contracts.Provide general support for department initiatives including assisting with system transition activities related to the future implementation of formal vendor management software.With the help of formal vendor management software solution, assist in monitoring quarterly reviews of vendors by business owners.When necessary tools are in place, assist in working with internal constituents to assess vendor performance and analyze ongoing company needs, which could lead to amendment of a contract and/or cancellation of a contract.Help facilitate effective business activities by fostering strong collaboration with key departments and maintaining cross-functional partnerships.Actively participate in various strategic and internal committees in order to disseminate information within the organization and represent company philosophy.

Supporting Responsibilities:

Meet department and company performance and attendance expectations.Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.Perform other duties or additional projects as assigned.

SUCCESS PROFILE

Work Experience: Minimum of 4 years of experience in procurement, vendor management, or related field, including experience with contract management and negotiations.

Education, Certificates, Licenses: High school diploma or equivalent required. Bachelor’s degree in business, supply chain management, or related field preferred.

Knowledge: Ability to effectively communicate, both written and verbally, with all levels of the organization and with outside parties, including the ability to independently present and maintain a professional stand on difficult issues. Ability to make sound, business-oriented judgments. Excellent analytical capabilities. Understanding of related business functions, including technology, regulatory requirements, operations, and financial reporting. Leadership qualities, including the ability to work with senior management. High moral and ethical character. Ability to handle multiple assignments. Accountable for the quality and accuracy of the procurement essential functions.

Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately 10% of the time.

The wage range provided reflects the full range for this position. The maximum amount listed represents the highest possible salary for the role and should not be interpreted as a typical starting wage. Actual compensation will be determined based on factors such as qualifications, experience, education, and internal equity. Please note that the stated range is for informational purposes only and does not constitute a guarantee of any specific salary within that range.

Base Range:

$44,982.98 - $71,972.77
