Transaction Coordinator - Deals Administrator Job ID 231053 Posted 04-Aug-2025 Service line Advisory Segment Role type Full-time Areas of Interest Administrative, Transaction Management Location(s) Toronto - Ontario - Canada About the Role: As a Transaction Management / Deal Administration Coordinator, you will provide operational support to the Transaction Management Services team. This job is part of the Transaction Management Services function, providing ongoing management of real estate transaction activities for a defined portfolio of properties on behalf of our corporate clients. ESSENTIAL DUTIES AND RESPONSIBILITIES •Assist Transaction Managers with preparation and distribution of deals package. •Notice letters preparation and distribution. •Input and maintain deal-related information in corporate databases and tracking systems, ensuring accuracy and completeness. •Monitor the status of deals and provide regular updates to management, highlighting key milestones, deadlines, and potential issues. •Prepare and distribute commission vouchers. Monitor and process commission received. Manage deal files in compliance with legislative requirements, corporate policies and procedures. •Prepare month end / year end reporting for management review and signoff. •Liaise with internal and external stakeholders to ensure services are delivered within process timelines. •Other duties related to administrative support may be assigned. Skills and Knowledge: •Strong organizational and multitasking abilities. •Excellent written and verbal communication skills. •Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with database management. •Detail-oriented with a strong focus on accuracy. •Ability to work in a fast-paced, deadline-driven environment. •Understanding of basic financial principles and deal structures is preferred. Qualifications: oBachelor's Degree preferred with up to 3 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered. oAbility to use existing procedures to solve standard problems. oExperience with analyzing information and standard practices to make judgments. oIn-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc. oIntermediate math skills. Ability to calculate difficult figures such as percentages, fractions, and other financial-related calculations. oExceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously. oStrong attention to detail and accuracy. oExcellent written and verbal communication skills. oAbility to work independently and as part of a team. oStrong problem-solving skills. oAbility to maintain confidentiality and handle sensitive information. oProfessional demeanor and strong interpersonal skills.
