GENERAL DESCRIPTION:
The Wyoming State Fairgrounds & Event Complex seeks a highly organized, proactive, and relationship-driven Temporary Partnerships & Events Coordinator to support sponsorship activation, partner fulfillment, and event coordination efforts leading up to and through the 2026 Wyoming State Fair.
This temporary position plays a critical role in delivering on sponsorship commitments, maintaining strong business partnerships, and supporting event execution during the busiest time of year. The position works closely with the General Manager and leadership team to ensure high-quality partner experiences and seamless event operations.
Work hours will fluctuate throughout the season. Spring months will require more flexible hours focused on planning and coordination. Hours will increase significantly in the summer months and during the Wyoming State Fair.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.
+ Serve as the primary point of contact for assigned sponsors and partners
+ Coordinate sponsor activation logistics, including signage, credentials, tickets, VIP access, on-site promotions, and recognition deliverables
+ Track sponsorship agreements and ensure fulfillment of all contractual elements
+ Assist with the preparation of sponsor communications, invoices, and follow-up correspondence
+ Coordinate event logistics, including space needs, layouts, vendor coordination, and operational details
+ Collaborate with marketing, operations, and finance staff to ensure seamless execution of partnership deliverables
+ Assist withthe preparation of reports and post-event summaries
+ Support special events, meetings, and fairtime programming as assigned
+ Maintain accurate documentation of sponsor interactions and event details
+ Represent the Wyoming State Fair in a professional and positive manner
Qualifications
PREFERENCES:
+ Experience in sponsorship management, event coordination, hospitality, marketing, or a related field
+ Experience working with community partners, business stakeholders, or nonprofit/government organizations
+ Strong organizational and project management skills
+ Ability to manage multiple projects and deadlines simultaneously
+ Experience working in fast-paced, event-based environments
+ Bachelor's Degree in business or related field, or 4 to 6 years progressive work experience.
KNOWLEDGE:
+ Excellent written and verbal communication skills
+ Strong attention to detail and follow-through
+ Ability to work independently while collaborating effectively with leadership
+ Professional judgment and discretion in handling business relationships
+ Proficiency in Microsoft Office (Word, Excel, Outlook)
+ Ability to adapt to changing priorities during peak event season

Necessary Special Requirements
PHYSICAL WORKING CONDITIONS:
+ Must be able to work extended hours during the summer months and the Wyoming State Fair
+ Ability to walk and stand for extended periods during events
+ Ability to lift up to 25 pounds as needed
+ Work performed in both office and outdoor event environments
NOTES:
+ FLSA: Non-Exempt
+ This is a temporary position anticipated to remain in place through October of 2026 or until the return of the full-time Partnerships & Events Coordinator.
+ Hours will vary seasonally:
Spring: Reduced and flexible planning hours
Summer & Fair Season: Increased hours, including evenings and weekends
