What this job involves:

Putting safety in your hands

First things first, your chief concern is to ensure a safer and more comfortable work environment to work in and visit. Part of the checklist you will run through are to plan and execute all preparations needed for site operations, complete M&E systems, Critical Equipments management, client visits, events, shutdowns and Incident management systems. all fall into your realm.

Site operations ManagementAll critical equipments are up and running 24/7Internal / External PPMs are done as per POs issued to suppliersMaintain ambient (lighting, Ac etc.) as per client requirementHub / UPS rooms Checks and balances are up to date.52-week M&E schedule to be prepared, implemented and monitored effectivelyRecommend continuous quality improvement practices and implement Industry Best Practice operationsSupport other FM functions based on crisis as a cross function to balance eco system24/7 reachability in case of any emergency supportReport ManagementPlan and maintain repository for all data / informationPrepare business reports to help the client for decision makingSuggest / Recommend changes or inputs required to enhance / optimize processEnsure routine update of database for future reference

Manpower ManagementEnsure sufficient manpower as per contractAttendance manual and application managementManage the morale of the team membersTreat team members equally and give equal opportunitiesAppraisal managementData ManagementStore and restore all data as required by clientShare required data for audits within stipulated periodMaintain data as per data retention polity

Vendor ManagementMaintain professional rapport with all sub vendorsConduct KPI and record MOM on their performance on monthly basisEnsure a property risk management program including audits is implemented and maintainedAny incidents to be recorded and shared with CAPA reports

Consumable stock ManagementEnsure Minimum Order Quantity is maintainedEnsure sufficient stock for routine operations are maintainedEnsure procurement on monthly / adhoc basisEnsure business continuityClient visit / Leadership visitEnsure to procure required materialsEnsure to arrange venue based on the requirementEnsure food & beverages are taken care ofEnsure liason with Landlord, helpdesk for smooth entryTraining and DevelopmentEnsure to complete mandatory trainings for self as per organization requirement and appraisalEnsure down team to complete mandatory trainings for self as per organization requirement and appraisalPreserve training records and materials for future reference

Budget and billing managementTrack the budget monthly and ensure process the invoices as per agreed termsFollow up with vendor for timely submission of invoicesProcess the invoices after due diligenceTrack the invoices till payment and collate NDC for all vendors on quarterly basis

ShutdownDiscuss with BU’s and get go ahead on proposed datesDiscuss with Landlords and get our requirements clarifiedPrepare a plan for men and materialsEnsure all =requirement consumables required for shutdown are purchased and available well in advanceEnsure 100% end to end safety in completing this activityEnsure JLL backend SME resources are available during the activityUpdate the management on each sub activities

Incident ManagementFirst, ensure all measures are taken to avoid any incidentsIf any incidents occur, ensure quick recovery with immediate corrective measuresFollowed by preventive measures to avoid in futureDocument the incident report with CAPA for recordsShare the lessons learnt with the team to be more cautious.

Being dedicated to great results

You should be mobile and capable of working anywhere because you will perform daily check-ins around the front office and lobby to ensure high standards. Whatever mix-ups or jams that you spot, you should be quick to figure out the best repairs. Your input and ideas will be sought to help steer the team in directions that help make the facility perform at its best.

A typical day for you also involves contact with vendors—reviewing their services and coordinating with them for the resolution of any service issues.

Core facilities management skills

If you’re a graduate in any discipline, you will most likely to qualify for this role. You should also have 5-7 years of experience in facilities management. It would be great if you have tertiary qualifications in hotel management, building management and/or business.  

Outstanding team prowess

Are you equipped to set up a team to success? Can you also play to your strengths and work effectively as a team member? If yes, that’s great—the ability to bring about positive changes and follow through with them will come in handy for this role.
