Job Purpose
The Talent Operations Specialist is responsible for supporting the recruitment, onboarding, and talent management process to ensure the company attracts, hires, and retains top talent. This role involves collaborating with candidates, employees and internal stakeholders to deliver seamless and positive experience by managing talent related systems, streamlining workflows, supporting performance management initiatives and driving talent operational excellence.
Key Duties & Responsibilities
The Role’s responsibilities include, but are not limited to:
Provide support for the recruiting team, including posting jobs on job boards, conducting background checks, scheduling interviews, and ensuring smooth operations of recruiting processes.
Assist in the administration of performance review cycles, ensuring timely execution and employee participation.
Act as a resource for employees and managers regarding performance management tools and processes.
Respond to basic inquiries from management related to job postings and recruiting materials, and train associates on recruiting technology.
Manage and facilitate pre-employment tasks, including background checks, candidate and hiring manager communication, and document collections.
Ensuring compliance within the ATS (Workday) and recruiting process with company policy and labor laws.
Track key talent metrics, including time to hire, employee retention, and performance trends.
Monitor the success rates of recruiting events and campaigns by tracking attendees through the hiring process.
Assist with identifying issues affecting talent workflows and implement process improvements.
Oversee administration of the referral bonus program, reviewing requests, determining eligibility, gaining approval, and working with payroll on administration.
Perform general administrative tasks such as data entry for recruiting metrics, returning calls and/or emails, and generating standard weekly/monthly HR reports.
Participate in strategic projects across talent, such as tool implementation, audits, etc.
Support recruiting and talent needs on special projects.
Required Experience
Bachelor's degree in HR, Business Administration, or a related field (or equivalent experience).
3+ years of experience in talent operations, HR Coordination, or Recruitment.
Skills & Abilities
Superb attention to detail and accuracy, and strong written and verbal communication abilities.
Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment.
Proven ability to provide quality internal and external customer service in a high-volume, fast-paced environment, managing multiple projects.
Knowledge of HR compliance and labor laws.
Familiarity with talent analytics and workforce planning.
Familiarity with recruiting tools and applicant tracking systems (ATS), such as Workday, iCIMS or similar.
Proficiency with applicant tracking software and Microsoft Office Suite.
Understanding of recruitment marketing tools or social media platforms.
Proficiency in data analysis to track and optimize recruitment metrics.
Able to work across multiple time zones.
Ability to travel as needed for recruitment or other HR events.
Working Conditions
Work is primarily performed in an office setting, requiring the ability to sit and/or stand for extended periods of time.
