Position Summary:
This position coordinates the day-to-day operation of the supply chain as it relates to the direct support of the perioperative surgical department and peripheral departments as assigned. Day to day duties include expediting and processing purchase requisitions and purchase orders, interacting with other areas in the Material Services department as well as other support areas within the hospital, material handling, and stock distribution. Other duties will include updating and maintaining MM & OR information systems and managing routine equipment repairs.
Essential Duties:
Processes requisitions upon request ensuring user needs are met via EDI, fax, and telephone or in person with suppliers.Helps coordinate deliveries with receiver ensuring timely deliveries.Makes all arrangements with suppliers for time, competitively priced product.Arranges substitute/alternative product as needed.Follow up on open and overdue orders on daily basis keeping open order status report current.Handles general product/service/equipment requests for information, locating source(s), repair processing, and contact.Meets with Sales Representatives for the purpose of securing timely delivery of product to meet surgical deadlines.Picks and distributes stock from “official” inventory locations as requested or required in support of scheduled and unscheduled surgical procedures.Coordinates and facilitates replenishment of “official” OR Main Inventory via the CMHC Main Inventory or outside “direct” procurement.Fills requests based on need/priority; identifies and processes STAT requests.Teams with OR personnel and senior OR Buyer to insure proper stock levels, initiate stock-out notifications, notifies requester if unable to fill order.Processes all incoming stock; identifies and secures items in proper locations, rotates stock in proper order due to dating sensitivities as directed, maintains care in handling items identified as sterile.Maintain Medical equipment, coordinates requests for equipment & instrument repair via CMMC Biomedical Engineering and/or outside vendor.Insures proper documentation for repairs and routine inspections of equipment and instruments.Arranges for loaner equipment or assists OR Buyer in sameMaintains a clean and organized area at all times.Maintain and update inventory information for the Material Management and OR information system(s).Ongoing updating and maintenance of templates, reports, and forms.Performs testing procedures on applicable system changes as directed.Maintain a thorough understanding of all Material Management applications and how they relate to other system-wide applications.Keep Management updated as to status of assigned projects and activities.Customer Service: Interacts with all individuals in a consistent manner, providing attention, support, and assistance to foster an environment of exceptional personal service.Maintains a pleasant and helpful demeanor, and presents a professional appearance toward all internal and external customers at all times.Consistently initiates interaction to provide assistance to individuals who may not be direct customers of the employee (i.e. asks patients who appear to be lost if they need assistance in finding their way).Takes appropriate action to recover from a service difficulty, ensuring that the necessary action is taken to affect a resolution to the customer’s problem.Conducts all work activities with respect for coworkers, including the maintenance of a pleasant and professional environment, fostering calmness during stressful situations.Interacts with supervisory personnel in a professional, supportive and courteous manner, venting emotions appropriate to time and place.Demonstrates a commitment to service by consistent attendance and punctuality, scheduling absences according to departmental requirements, and incurring unplanned absences only when unavoidable circumstances exist.Education and Experience:
High School Diploma or GED equivalent.Minimum 2 years’ experience in Supply Chain or Inventory control field.Knowledge, Skills and Abilities:
Able to drive 24’ box truck effectively & safelyAble to effectively communicate in English, both verbally and in writing.Strong written and verbal skills.Basic computer knowledge.Valid Maine Driver’s License – Able to drive 24’ box truck effectively & safely.Ability to engage patients and team members utilizing the CMH Experience StandardsI am creating a warming, caring, and non-judgmental environment
