Job Description SummaryResponsible to Supervise the daily Shipping and Receiving functions for all locations but with a primary focus at all locations across Boston, Cambridge, and Rhode Island. Receive and distribute all inbound, and outbound, materials, and timely update logistic information into registration systems. In the absence of the Shipping and Receiving Supervisor, perform essential functions oversight of personnel deployment across all building locations in coordination with the Account Director.Job Description

Essential Functions & Responsibilities

Pay: $44.50.

Schedule: Monday-Friday (7:00am-3:30pm).

Follow the DOT and IATA guidelines to process, and handle all domestic, and international, shipments of Hazardous / Non – Hazardous goods, R&D samples, capital equipment and other materials.

Follow Vertex policies, guidelines, and SOP’s to process daily works and maintain work related documents as required within an emphasis on specialized GMP S/R procedures, cold storage requirements, and other client related procedures.

Supervisory level communication and working relationship ability with many R&D, manufacturing, and professional client levels whether in-person or electronic communications.

Coordinate with other departments, such as Supply Chain, Purchasing & Accounting, to resolve issues in receipts and clear discrepancies in invoices.

Transport materials in company vehicles to different Vertex sites and make required deliveries.

Timely finish all required trainings and prepare to accurately answer questions from internal or external auditors.

Provide support to our CROs, establish connections with vendors, couriers, and Vertex key stakeholders. Meet with Vertex key stakeholders and vendors to help on project planning and identifying cost saving opportunities.

Work with the Customs/FDA to declare imports and exports of pharmaceutical R&D/GMP samples and lab equipment.

Maintain and manage Vertex vehicle lease contracts, services, and registrations.

Become part of the Vertex Emergency Response Team and VMC Safety Committee at Vertex Docks when the time comes.

Order logistics supplies and other related items for the Shipping and Receiving Team.

Administrative accesses to update and maintain Vertex Logistics vNet page, Vertex FedEx accounts, manage Coupa and other necessary systems for routine processes.

Verify and keep records on incoming and outgoing shipments and prepares items for shipment.

Utilizes various technologies including but not limited to computerized maintenance management system (CMMS), FedEx, UPS, Outlook email, and Iphone for the purpose of processing shipping/receiving orders.

Determine method of shipment, utilizing knowledge of shipping procedures, routes, and rates.

Affix shipping labels on packed cartons or stencils identifying shipping information on cartons, using stenciling equipment.

Assemble wooden or cardboard containers or selects preassembled containers, packages items into containers using appropriate packing materials.

Affix identifying information and shipping instructions onto crates or containers.

Post weights and shipping charges, and affix postage.

Unpack and examine incoming shipments, reject damaged items, record shortages, and correspond with shipper to rectify damages and shortages.

Examine outgoing shipments to ensure shipments meet specifications.

Maintain inventory and tracking of shipping materials and supplies.

May use hand truck and dolley to move, convey, or hoist shipments from shipping-and-receiving platform to storage or work area.

May require lifting and/or moving objects in excess of 50 pounds and pushing up to 100 pounds.

Other duties as assigned.

Minimum Requirements

High School Diploma or GED.

Valid Driver’s License.

5+ years of relevant experience.

Customer service and professional.

Self-starter, motivated, team player with the ability to prioritize work.

Demonstrated willingness and ability to work independently and productively and to accept direction.

Highly organized and excellent record-keeping abilities.

Ability to frequently move and lift 50+ pounds.

Proficiency with Microsoft Office Suite required.

International Air Transport Association (IATA) certification.

DOT certification.

REQUIRED PHYSICAL ABILITIES

Shipping and Receiving work by its nature requires physical abilities to include lifting up to 50 lbs regularly.  Full dexterity is required including bending, kneeling, twisting, fine motor skills with hands and fingers, full rotation of the head and neck.  Ability to see, hear and be alert while operating equipment.  Ability to operate lift equipment and perform work safely utilizing extension and step ladders.
