Job Description:

Staffing Supervisor
Location: Broken Arrow, Oklahoma or Salisaw, Oklahoma
Schedule: Monday – Friday, 8:00 AM – 5:00 PM

What You’ll Do

Manage ongoing scheduling for homemaking, personal care, and home health aide services, ensuring timely staffing of planned and unplanned absences

Oversee client “without attendant” (CWA) cases, managing holds, updates, and ensuring timely regulatory documentation

Communicate regularly with clients without attendants, documenting all contacts and updates

Submit client communication forms (2067) as needed

Complete compliance tracking for new hires and update attendant availability in Arrow system

Ensure compliance with policy 3040 and conduct or coordinate verbal orientations

Maintain accurate records of caregiver schedules (current and prospective)

Perform other assigned duties and projects to support team success

What We’re Looking For

High school diploma or GED required

Strong verbal and written communication skills

60 college credit hours or 2-3 years supervisor experience in home health

Excellent organizational skills

Employment or personal experience with elderly or disabled populations preferred

2+ years of experience in a fast-paced office environment preferred

Access to reliable transportation, valid driver’s license, and auto insurance as per state law

Must be available to work weekends and holidays as required

Bi-lingual is preferred

KEY ACCOUNTABILITIES:

 

Ensures that all activities performed align with the vision of Elara Caring’s board of directors, executive team, and the leadership of the Personal Care Services team

Oversee daily scheduling and high-volume dispatching of caregivers across multiple service areas, ensuring coverage aligns with client needs and care plans.

Coordinate last-minute changes, cancellations, and emergency coverage with professionalism and efficiency.

Maintain accurate caregiver availability records, optimize staff utilization, and ensure schedules comply with state regulations and company policies

Serve as the primary contact for caregivers and clients regarding scheduling updates; respond promptly to phone, text, and digital communications

Collaborate with branch leadership to identify staffing trends, anticipate shortages, and implement proactive solutions

Accurately document schedule updates and staffing actions in the scheduling system

Partner with HR and Recruiting to support onboarding, availability updates, and retention strategies

Train and support dispatch staff; provide guidance to caregivers on schedule-related concerns in a professional, supportive manner

Participate in weekend/holiday rotations and after-hours/on-call coverage as required

Promotes Elara Caring’s philosophy, mission statement, and administrative policies to ensure quality of care

Maintains patient and staff privacy and confidentiality pursuant to HIPAA Privacy Final Rule

Performs other duties/projects as assigned

 

PHYSICAL AND ENVIRONMENTAL DEMANDS:  

 

Physically demanding, high stress environment

Sit, stand, bend, lift and move intermittently and be able to lift at least 25lbs

Move equipment and supplies necessary for job functions

Read, speak, and write English to fulfill job functions in an understandable way

See/hear or use prosthetics that enable accomplishment of job

Meet the health requirements of the agency

Possible exposure to infectious and communicable diseases, chemicals, and repetitive motions

Abide by all occupational safety and bloodborne pathogen protocol to minimize illness and/or injury

Complete required work daily

Cope with work involving ill, disabled, and dying patients
