Job Summary:
This is an on-site, in-person position. This position will provide direct support to the other Staff Assistant and indirect support to the Chair, Microbiology and Immunology Department as well as all staff and students across a range of administrative needs and requirements.
Duties include: Provide administrative support for the full range of educational activities occurring in the Department and University activities which the Department supports (i.e., medical school, graduate school, etc.). Specific duties include but may not be limited to managing schedules and calendars, reserving venues, arranging food and beverage support as needed, and supporting travel needs of visiting educators. Candidate will assist department faculty, staff, students, and visitors with travel arrangements, travel reimbursements; credit card reconciliations; office supply ordering and select lab ordering. As directed, place orders, make purchases, submit invoices for payment, track delivery, and maintain documentation and electronic filing. Learn and utilize NYS, SUNY, and University software and virtual platforms as needed and required to complete tasks. Candidate will maintain vendor relations, manage office equipment needs and supplies, work with housekeeping to maintain physical office space, and assist in departmental maintenance issues (submitting work tickets). Candidate will assist with deliveries, including mail, FedEx accounts, UPS invoices, and tracking of packages with Receiving, work with vendors to resolve delivery issues. Oversee outgoing mail and packages, track that campus mail is being delivered and picked up regularly; check with labs that shippers are picking up as scheduled. Assist in maintaining department inventory list of equipment, submission of service agreement Reqs and parts on Self-Serve, schedule instruments for service. Correspondence, manage department calendars, meeting preparation, filing, maintain current staff contact lists, and special projects as assigned. Candidate will assist with budgeting and financial matters as requested, provide administrative and financial support to Upstate Global Health Institute/Micro Department shared faculty with purchasing and credit card statement submissions, and travel reimbursements.
Minimum Qualifications:
Bachelor's degree two years of administrative experience OR an Associate's degree and 4 years of administrative experience required. Excellent written/oral communication, computer, and problem solving and analytical skills required.
Preferred Qualifications:
Experience in supporting the administrative needs of moderately complex organizations. Necessary skills include scheduling, financial record keeping and reporting, clear oral and written communication within and external to the Department and institution, supporting travel needs and the administrative processes associated with the same. Computer skills are required to include use of electronic mail, electronic calendar management, use of NYS, SUNY, and/or Upstate software and digital platforms as needed (e.g., human resources). Purchasing and other requisition systems will be learned.
