Job Summary
The Secretary provides comprehensive administrative and secretarial support to assigned executives or departments, ensuring efficient operations and effective communication within Lilly Suzhou Pharmaceutical Co., Ltd.
Job Responsibilities**
* Manage and maintain complex calendars, scheduling appointments, meetings, and travel arrangements (both domestic and international).
* Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy, proper formatting, and adherence to company standards.
* Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, distributing materials, and ensuring necessary follow-up actions.
* Handle confidential information with discretion and professionalism.
* Process expense reports, invoices, and other financial documents in accordance with company policies.
* Maintain organized filing systems (physical and digital) and manage document retrieval.
* Act as a primary point of contact for internal and external stakeholders, screening calls, emails, and visitors.
* Assist with special projects, research, and data gathering as assigned.
* Order and manage office supplies and equipment, ensuring adequate stock levels.
* Provide support for onboarding new employees, including preparing workstations and necessary documentation.
Job Qualifications**
* Bachelor's degree in Business Administration, Secretarial Studies, or a related field preferred; High School Diploma or equivalent required.
* Minimum of 1-3 years of progressively responsible secretarial or administrative experience, preferably within a multinational or pharmaceutical company.
* Excellent proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant office software.
* Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
* Exceptional written and verbal communication skills in both Mandarin Chinese and English.
* High level of accuracy and attention to detail.
* Proactive, self-motivated, and able to work independently with minimal supervision.
* Demonstrated ability to maintain confidentiality and exercise good judgment.
* Strong interpersonal skills and a professional demeanor.
