**About the Role:**
The Workplace Experience Sr. Coordinator supports employee well-being, productivity, and company effectiveness by managing and promoting the Arts Workplace Experience program through events. This role will be pivotal for planning, executing, and evaluating a diverse portfolio of events, from small tabling activities to large events that promote the Arts program. The ideal candidate will be highly organized, detail-oriented, creative, and skilled in event management. They will lead projects, provide operational support, and run marketing campaigns to ensure all events meet company goals and provide excellent experiences. Workplace Programs aim to enrich employees' lives with diverse experiences like hobby classes, inspiring art, and creative spaces such as music practice rooms, fostering personal development and passion.
**What You'll Do:**
+ Lead the end-to-end planning and execution of multiple events simultaneously, ensuring delivery within scope, budget, and timeline. Events can range from small onsite marketing/tabling activities to large on-site engagement activities or performances, partnering with external vendors.
+ Handle logistics such as booking locations and creating signage for events.
+ Procure and track equipment and materials; maintain an organized system for inventory management.
+ Coordinate event registration processes, attendee communications, and on-site support.
+ Collaborate with internal and external stakeholders for cross-functional events as appropriate.
+ Oversee all aspects of on-site operations including event setup, breakdown, and troubleshooting during live events.
+ Provide high-quality support through various channels, (ticketing request system, scheduling tools, phone, email, and in-person interactions).
+ Manage program marketing and communications; draft high-quality content and create internal collateral and materials.
+ Leverage surveys and internal data to measure event impact and inform future planning.
+ Contribute to the strategic development of the annual events calendar and identify opportunities for new or improved events.
+ Ensure brand consistency and high-quality guest experiences across all events.
+ Manage event budgets, track expenses, and ensure cost-effective solutions without compromising quality.
+ Process invoices and maintain clear financial records.
+ Act as a project lead, ensuring clear communication and collaboration among all stakeholders.
+ Conduct post-event analysis to gather feedback, measure performance, and suggest improvements.
+ Prepare comprehensive reports and presentations on event outcomes, while coordinating meetings and managing client communications with strong organization and proactive updates.
+ Collaborate with internal teams as appropriate.
+ Adapt to a fast-paced and ambiguous environment with flexibility and initiative.
+ Perform other duties as assigned.
+ Supervisory Responsibilities: No formal supervisory responsibilities in this position.
**What You’ll Need:**
**Education and Experience:**
+ HS Diploma or GED required.
+ A minimum of 2 - 3 years related experience (e.g. Concierge, Hospitality, Events Management, or Customer Service roles) is required.
+ Associates or Bachelors degree preferred.
+ Certificates and/or Licenses: None
**Communication Skills:**
+ Ability to tailor communications based on audience; strong vendor facing and user facing communication skills.
+ Respond to common inquiries or complaints from clients, co-workers, and/or managers.
+ Effectively present information to an internal department and/or large groups of employees.
+ Comfortable meeting and interacting with new people.
+ Warm and engaging demeanor, and the ability to assess circumstances, empathize, and offer help.
**Financial Knowledge:**
+ Requires basic knowledge of financial terms and principles.
+ Ability to calculate simple figures such as percentages.
**Reasoning Ability:**
+ Understand and carry out general instructions in standard situations.
+ Solve problems in standard situations, which requires basic analytical skills with strong reasoning and critical thinking.
**Scope of Responsibility:**
+ Decisions made with general understanding of procedures and company policies to achieve set results and deadlines.

**Strongly preferred (but not required) experience:**
+ Facilities or space management
+ Proficient with Google Workspace (Gmail, Calendar, Slides, Docs Sheet) and Excel
+ Experience with Canva
+ Creative writing background
CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Senior Workplace Experience Coordinator position is $33.65 per hour and the maximum salary for the position is $37.98 per hour. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
