Job Description **Key missions of the position:** Ensure ontime, accurate preparation and submission of invoices and supporting documents—as per Purchase Order (PO) terms—to Zonal Railways/Metro customers, enabling faster RNote generation and payment, while maintaining compliance with internal quality systems (IMS/IRIS) and 5S. **Responsibilities:** **Billing Preparation & Submission** + Prepare complete billing packs strictly as per PO terms (scope, quantities, rates, taxes, delivery & payment clauses). + Submit bills for S&T and Metro (online/offline) for all Zonal Railways within 2 days of RNote issuances for all Hosur cases; immediately inform the regional team for followup. + Collate and verify all required payment documentation before submission (as demanded by each Railway/Metro unit). + **B. Despatch Advice & Documentation Control** + Collect invoices and issue E-Despatch Advice to all consignees immediately after despatch. + Send despatch advice and paymentrelated documents for all Zonal Railways to the Customer/commercial team per specific requirements. **C.** **Coordination on RNotes / DP Extensions** + Proactively follow up on RNote status and DP (Delivery Period) Extension for all despatches; maintain status and forward confirmations for records/action. **D. Reporting & Trackers** + Own and update the Bill Submission – Invoice tracker. + Maintain and publish Pending RNote status. + Update IMS (and related) reports as per cadence. + Provide periodic MIS to Commercial/Customer Care leadership on billing throughput, pending documents, and risks. **E. Other** + Perform any other duties reasonably required by the company in line with the role. **Education :** + Minimum bachelors degree in Engineering or Business or Accounting (or equivalent) **Experience :** + 2–5 years’ experience in commercial billing, preferably in Railways/Metro or EPC/industrial manufacturing environments. + Exposure to Indian Railways/Zonal Railways documentation flows (RNote, DP Extension, consignee communications) is added advantage. **Other specifications:** + **Promote 5S** and sustain good housekeeping within the department. + Actively implement and comply with **IMS/IRIS** total quality systems and company policy requirements. + Ensure audit ready documentation and traceability at all times.
