Site Coordinator Position Profile

The Site Coordinator is accountable for the daily operations of a solo-person site. This role is responsible for performing contracted office services including, but not limited to, copy services, courier services, managed print services, hospitality, imaging, and mail services.

Job Duties and Responsibilities

Responsible for the daily operations of a mailroom, copy center, or scanning facility.

Operates office equipment including PCs, copiers, multifunction devices, imaging, and mail equipment.

May be responsible for courier services, reception services, switchboard operations, shipping and receiving, and the delivery and processing of mail.

Serves as the primary point of formal contact with the customer on a daily basis.

Ensures effective implementation and management of Ricoh Service Excellence programs.

Operates required equipment and software efficiently to meet service level agreements.

Supports profitability by effectively utilizing company materials and supplies.

May perform routine administrative functions, including:

Creating and completing work orders

Contractor monitoring

Inspections

Reporting facility-related issues

Providing operational support as required

Interacts with contracted vendors, facility management, and site occupants as needed.

Manages office supply inventory and reordering when applicable.

Coordinates conference rooms and manages A/V equipment resources as assigned.

Maintains positive internal working relationships through professional communication.

Collects and provides data to leadership and customers, including preparation of monthly reports with leadership support.

Ensures financial responsibilities are met.

Performs other duties as assigned.

Qualifications (Education, Experience, and Certifications)

Typically Requires:

High school diploma or GED (required)

1+ year of experience in a related field (B2B and/or technical)

1+ year of customer-facing experience (required)

Demonstrated knowledge and understanding of technology

Knowledge, Skills, and Abilities

Tactical thought processing

Ability to present to small groups

Moderate problem-solving skills

Basic customer service skills

Basic technical aptitude

Basic written and verbal communication skills

Working Conditions, Mental and Physical Demands

Typical office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.

Work assignments are diversified and may require interpreting, comprehending, and applying complex material, data, and instructions.

Requires the ability to prepare, provide, and convey diversified information.

Some physical effort required. While work may be sedentary, it includes walking, standing, bending, reaching, lifting, or carrying objects up to 50 lbs. (e.g., papers, books, files, small parts).

Moderate dexterity required, including regular use of basic tools such as calculators, keyboards, hand tools, and eye/hand coordination.
