The Service Coordinator will serve as the primary point of contact for client inquiries via phone, email, and chat. This role involves answering questions related to account setup, billing, scheduling, and order details while proactively supporting clients throughout the scheduling process to ensure a smooth and positive experience. The coordinator will troubleshoot and resolve client issues in a timely and professional manner, maintain accurate documentation of all customer interactions, and monitor customer feedback to drive improvements.
Responsibilities
+ Answer client inquiries related to account setup, billing, scheduling, and order details.
+ Proactively support clients throughout the scheduling process.
+ Troubleshoot and resolve client issues promptly.
+ Maintain accurate documentation of all customer interactions in the CRM system.
+ Monitor and respond to customer feedback via surveys and online platforms.
+ Track and escalate customer trends, concerns, or feedback for improvement.
+ Support client retention efforts through relationship-based communication.
+ Assist in improving internal workflows and communication templates.
+ Coordinate and manage scheduling of Greek Life photo shoots.
+ Build rapport with clients to ensure preparedness for photo sessions.
+ Assign photographers based on availability, location, and equipment compatibility.
+ Maintain accurate scheduling timelines and follow up with clients as needed.
+ Ensure photographers are fully prepared with materials and instructions.
+ Document all scheduling actions and updates in the CRM.
+ Manage last-minute changes or cancellations and work with clients for solutions.
+ Collaborate with team members during peak periods to maintain schedule integrity.

Additional Skills & Qualifications
+ High school diploma required; college degree preferred
+ 2+ years in customer service, scheduling, or account management with CRMs
+ Experience in photography, creative services, or event coordination is a plus
Work Environment
This position offers a hybrid work environment with 3 days in the office and 2 days remote. The role requires collaboration with other team members, especially during peak periods to maintain workflow integrity. The work environment is dynamic and focused on growth within the service coordination team.
Job Type & Location
This is a Contract to Hire position based out of Hunt Valley, Maryland.
Pay and Benefits
The pay range for this position is $17.00 - $21.63/hr.
