The Service Administrative Assistant is responsible for managing accounts receivable, tracking past due accounts, and maintaining records in Falcon. The role includes opening tickets, creating new sites, and printing monthly work orders for technicians. The assistant will also handle incoming service calls and distribute them to technicians, order materials and equipment, manage billing, and process payroll for the Service Department.
Responsibilities
+ Track past due accounts and manage accounts receivable.
+ Maintain records in Falcon, including opening tickets and creating new sites.
+ Print monthly work orders for technicians.
+ Distribute incoming service calls to technicians.
+ Order materials and equipment for technicians.
+ Manage billing and accruals for the Service Department.
+ Process payroll, including obtaining employee time information and submitting it to the Payroll department.
+ Check the edit listing before the check run.
+ Distribute service work to subcontractors and prepare quotes.
+ Handle mailing, faxing, photocopying, answering phones, and filing as needed.
+ Assist Service Manager with scheduling manpower for technicians.
+ Attend bi-weekly service meetings and take notes.
+ Drop off bids and run errands as needed.
+ Pick up and drop off permits for the Service Department.
+ Process billing for HNB through Work Oasis.
+ Maintain records of licensing and certifications for assigned personnel.
+ Assist in resolving issues or corrections needed by the Corporate Branch for the Service Department.
+ Handle customer requests for the Service Department.
+ Send monthly CIP reports.
+ Update daily Google calendar for technicians.
+ Submit and code credit card receipts and statements for the Service Department.
+ Process subcontracts for the Service Department.
Essential Skills
+ Proficient in data entry and Microsoft Office applications.
+ Experience with invoicing and purchase orders.
+ High School Diploma or GED.
+ Minimum of 3 years' administrative experience.
+ Proficiency in Microsoft Excel and Outlook.
+ Customer service and dispatching experience.
Additional Skills & Qualifications
+ Experience in the construction industry is a plus.
Work Environment
This position requires onsite work Monday through Friday, from 7:30 AM to 4:30 PM, in a cubicle/office environment. You will be working closely with service technicians and construction workers. The role offers opportunities for upward mobility in a growing company.
Pay and Benefits
The pay range for this position is $21.00 - $22.00/hr.
