The role of a Senior Property Executive typically involves overseeing the management and administration of rental properties on behalf of Client.

What you will be doing:

Tenant Relations: Build and maintain positive relationships with tenants by addressing concerns, handling complaints, and ensuring their needs are met throughout their tenancy.Fit-out Works: Conduct, manage, and coordinate pre- and post-fit-out survey works with tenants and their contractors. Ensure tenants do not carry out fit-out works without the client’s endorsement of the plan. Advise tenants to submit plans prior to work commencement, explain the landlord’s requirements, and guide them through the correct submission procedures to the client or other relevant authorities. Assist in reviewing fit-out plans, coordinate meetings with tenants and their consultants for clarification, check the availability of utility connection points, and advise the client and prospects accordingly. Also, verify the availability of existing M&E services and other works that may interface with the tenants’ fit-out works.Property Inspections: Conduct regular inspections of rental properties to assess their condition, identify maintenance needs, and ensure compliance with lease agreements. Ensure tenants do not engage in unauthorized activities.Handing & Taking Over of Premises: Carry out joint inspections, walk-throughs, and testing of M&E equipment with vacating tenants to ensure reinstatement works and defects have been rectified. Ensure proper termination procedures for utilities and closure of accounts. Prior to handing over to or taking over from a new tenant, inspect for defects, ensure cleanliness, prepare handover checklists, take photographs of unit conditions, and complete any documentation required by the client.Maintenance Coordination: Oversee property maintenance and repair work by arranging necessary repairs and hiring contractors to ensure prompt resolution of issues.Property Viewing: Assist in rental property viewings by cleaning and preparing premises and escorting prospective tenants during viewings.Legal Compliance: Ensure all rental properties comply with local and national rental laws and regulations. Stay updated on changes in tenancy agreements.Reporting: Prepare occupancy and visitorship reports related to the sitesConflict Resolution: Mediate disputes between tenants, address conflicts, and find amicable solutions.Administrative Tasks: Handle various administrative duties such as maintaining records (e.g., contact details, meeting minutes, letters of consent, as-built drawings, notices of approval, fire safety certificates), making announcements to tenants, and organizing tenancy-related documentation.Property Upkeep and Enhancement: Suggest improvements or upgrades to enhance the property's value and appeal to potential tenants.Health and Safety Compliance: Ensure rental properties meet health and safety standards and conduct regular safety checks.Communication: Maintain regular communication with the landlord, provide updates on property performance, and seek approval for major decisions.Other Duties: Perform any other work that may be assigned by the client or superior.The role of a Senior Property Executive is crucial in maintaining smooth tenancy operations and providing a positive experience for both the landlord and tenants.

You are:

Diploma in Building or Facilities disciplines from a recognised establishment with minimum of 6 years of experience (with M&E and/or civil/building background is preferred) Or ITE/NTC facility management or technical disciplines or market equivalent in facility management works with minimum of 8 years of experience.
