Senior Payroll Specialist
Description We are looking for a Senior Payroll Specialist to oversee payroll processes and provide back up support to the accounting team. In this role, you will ensure the accurate and timely management of payroll for a multi-state workforce while maintaining compliance with federal, state, and local regulations. This position also involves collaboration with internal teams to optimize operational efficiency within the finance department. Hybrid schedule located in Washington DC. Responsibilities: • Manage the semi-monthly payroll process for over 150 employees, ensuring accuracy in hours, pay rates, benefits, and deductions. • Administer payroll deductions and contributions, including federal and state taxes, employee benefits, and elections. • Process payroll adjustments for new hires, terminations, and other employee status changes. • Maintain accurate payroll records, including updates to employee data such as tax information, direct deposit details, and earnings/deductions. • Collaborate with external consultants to address tax filings, compliance issues, and year-end reporting requirements, including W-2s and 1099s. • Ensure proper procedures and internal controls are in place to maintain compliance with payroll regulations. • Verify the accuracy of 401(k) contributions and assist with compliance regarding related plans and regulations. • Support accounting operations by processing invoices, check requests, expense reports, and other financial documents. • Assist with vendor maintenance tasks, including verifying banking information and managing W-9 forms. • Partner with the Controller during periodic close activities, such as payroll liability reconciliations and recurring financial schedules. Requirements • Extensive experience managing full-cycle payroll processes, preferably for 100-500 employees. • Proficiency in multi-state payroll administration and compliance. • Familiarity with accounts payable processes and supporting financial operations. • Ability to ensure compliance with federal, state, and local payroll regulations. • Experience in preparing accurate tax filings and year-end reporting. • Excellent organizational skills and attention to detail to maintain accurate records. • Strong communication skills for collaboration with internal teams and external consultants.
