Senior On-Site Service Specialist

Position Profile
The Senior On-Site Service Specialist supports daily operations in copying, production, mail services, shipping/receiving, equipment maintenance, and customer support. This role may also assist with reception, file services, meeting setup, and general facilities tasks. Responsibilities may span multiple buildings and require strong communication and presentation skills.
Key Responsibilities
Operate high‑volume/production copy machines. Perform binding, finishing, scanning, imaging, QC, and final checks. Maintain convenience copiers: daily inspections, clear jams, load paper/toner. Perform basic troubleshooting and escalate service calls when needed. Use bindery equipment (paper cutter, hole punch, jogger, stapler, shrink‑wrap, etc.). Sort, distribute, and deliver incoming/outgoing mail and faxes. Apply postage, prepare shipments, and follow shipping/receiving procedures. Handle dock work and package processing as needed. Maintain inventory and ensure supply levels. Act as a temporary/backup receptionist when needed. Answer customer questions and provide job status updates. Maintain logs, meters, management reports, and job tracking. Perform filing, archiving, and document handling. Deliver completed print jobs to various buildings. Support meeting and conference room setups. Assist with internal occupant moves. Perform light maintenance and cleaning duties. Travel between buildings as required.Qualifications
High school diploma or GED required. 1–2 years of related experience (copy/print, mailroom, production). Valid driver’s license may be required. Basic computer skills; proficiency in MS Office Suite. Working knowledge of copier/print equipment preferred. Understanding of shipping/receiving procedures. Basic electronics knowledge preferred.Skills & Abilities
Ability to work independently and manage multiple tasks. Strong troubleshooting and problem‑solving skills. Ability to read and understand equipment manuals and job instructions. Excellent customer service and communication skills. Ability to lift up to 50 lbs and push/pull equipment (up to 400 lbs on wheels). Comfortable with walking, standing, bending, and physical tasks.Working Conditions
Exposure to copier noise, toner, temperature changes, and paper handling. Building-to-building travel in varying weather conditions. Tight deadlines and fast-paced work may create high stress. Regular contact with customers, employees, managers, vendors, and techs.
