Senior On-Site Service Specialist
Summary

This position provides operational support across multiple service areas, including high‑volume copying, production, mail handling, equipment operation, and customer support. The role may also include bindery, quality control, reception, hospitality, file services, call center functions, and light facility support. Due to the higher level of communication and presentation skills required, this role is classified as a Senior On‑Site Services Specialist.
The position reports to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site structure.

Job Duties & Responsibilities Production & Equipment Operations Operates high‑volume/production copy machines; performs binding and finishing work. Ensures convenience copiers function properly through daily inspections; clears jams and reports issues to technicians. Performs basic troubleshooting and escalates service calls as needed. Sets up equipment per customer requirements (toner, paper, supplies). Performs document scanning and imaging tasks. Keeps copier areas clean, organized, and well-stocked. Customer Service & Front‑Office Support Responds to and coordinates all customer service calls. Answers customer questions regarding job status and feasibility. May provide temporary or occasional reception services. Delivers completed jobs throughout the customer's facility. Mailroom, Shipping & Receiving Sorts, distributes, and processes incoming/outgoing mail and faxes. Applies postage and maintains related logs. Handles shipping and receiving of materials; verifies packing slips and material accuracy. Uses equipment such as shrink‑wrap machines, paper cutters, hole drills, bindery machines, joggers, stackers, tape machines, and scales. Administrative & Reporting Maintains management records, meter logs, service logs, and supply inventories. Calculates charges for completed jobs and generates reports as needed. Performs filing, archiving, and document purging per customer request. Ensures all required data for Ricoh MOR, SPG, and job logs is accurately captured. Facilities & Support Duties May perform meeting room or conference room setups. May assist with internal occupant moves within the facility. May assist with light maintenance or cleaning tasks as assigned. May travel between multiple buildings as part of daily responsibilities. Periodic overtime, including nights, weekends, and emergency response, may be required. Qualifications Education & Experience High school diploma or GED required. 1–2 years of related experience preferred. Prior copy/print services experience strongly preferred. Valid driver’s license and auto insurance may be required. Technical Skills Working knowledge of copier and related equipment. Basic electronics understanding preferred. Strong computer skills, including MS Office proficiency. Knowledge of shipping/receiving procedures. Soft Skills & Abilities Strong customer service and verbal communication skills. Ability to work independently with flexibility to complete multiple tasks. Strong problem-solving and troubleshooting ability. Ability to understand written technical materials (manuals, parts books, etc.). Ability to manage mail delivery processes accurately. Working Conditions, Mental & Physical Demands Frequent exposure to copier/fax noise, toner, and varying room temperatures. Physical activity including standing, walking, bending, reaching, stretching, climbing, and lifting up to 50 lbs. May require moving equipment up to 400 lbs using wheeled carts. Exposure to weather conditions when traveling between buildings. Daily customer and internal team interaction; occasional vendor or technician contact. High‑stress environment due to tight deadlines and quick turnaround expectations. Disclaimer
