Job Description Summary

The Senior Occupancy Planner is a critical role for strategic space management, driving efficiency, scalability, and alignment with business goals. This role oversees and provides occupancy planning expertise across supply, capacity, and demand for the client’s real estate portfolio. Often responsible for a campus, headquarters, or regional portfolio, the Senior Occupancy Planner ensures that planning exercises align with the client’s strategic vision and support future-ready operations.

Job Description

The Senior Occupancy Planner adds value by: 

Proactive Space Planning: Forecasts headcount growth and anticipates space needs to align with organizational strategies and business unit goals.  Develops and maintains space plans that align with business goals and workforce needs. 

Strategic Insights: Provides data-driven recommendations for space optimization, ensuring cost-effective and productive layouts.  Analyzes space utilization and forecasts future requirements to support long-term planning. 

Stakeholder Collaboration: Works closely with leadership, business units, and cross-functional teams to understand evolving requirements and deliver tailored solutions. 

Scenario Modeling: Leverages tools like Serraview to analyze various space utilization scenarios, enabling better decision-making and flexibility. Leads scenario planning, stacking, and test fits for moves and restacks. 

Future-Ready Operations: Lays the groundwork for a scalable, efficient, and responsive space management program that supports organizational growth. Creates and implements standards and guidelines for space planning processes. 

Additional responsibilities include: 

Overseeing complex assets or regions within the client portfolio.  May also oversee a larger business unit or more complete business unit relationship and often conducts special projects related to occupancy such as M&As. 

Managing or mentoring a team in space planning, FF&E solutions, MAC, spatial data, and service delivery. 

Directing the planning and development of new spatial strategies and overseeing current projects and programs. 

Collaborating with account leadership, service lines, and client stakeholders to ensure alignment on staffing, project planning, and strategic initiatives. 

Preparing and delivering operational presentations and reports on space pipeline, utilization trends, challenges, and recommendations. 

Ensuring compliance with core program standards, including tools, templates, and processes customized to the client. 

Leading proactive solutioning through root cause analysis, scenario modeling, and strategic recommendations. 

Collaborating with IFM, PDS, and client real estate leadership to align day-to-day operations and recommend process improvements. 

Overseeing the creation and maintenance of playbooks, templates, and tools for consistent service delivery. 

Coaching the team in delivering effective space planning and move management for all project types (expansions, relocations, consolidations, refreshes). 

Directing the development of planning proposals, site assessments, utilization metrics, and supply/demand studies. 

Establishing goals and objectives for the team and ensuring timely execution. 

 

Requirements 

Bachelor’s degree (BA/BS) in a related discipline or field of study (i.e. Architecture, Interior Design, Corporate Real Estate & Facilities Management Planning/Coordination, Facilities, Project or Construction Management, etc.) 

Five to Seven year's experience in a corporate real estate environment 

Possesses strong analytical skills and the ability to develop conclusions and recommendations 

Maintains a working knowledge of CAFM software, space management systems, and relational database functionality.  AutoCAD experience or equivalent preferred.   

Demonstrates proficiency in architectural and engineering drawings, concepts & design 

Experienced in managing projects of varied scope and complexity 

Proficient in MS Office Suite software applications 

Excellent customer service and interpersonal relationship skills 

Ability to work independently and as part of a team 

Able to build strong relationships with internal and external partners to deliver effective services 

Strong oral, written and presentation skills 

Assumes ownership of requests in order to ensure successful completion 

Strong attention to detail and quality 

Ability to handle concurrent projects with minimal supervision and direction

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $165,750.00 - $195,000.00
