Our dedicated teams work across all industries, and support clients ranging from global Fortune 500 companies to single, iconic buildings. **JOB SUMMARY** The purpose of this role is to provide comprehensive Facility Management services to the JCI Singapore officelocatedat 1 Fusionopolis Pl, #07-17/18 Galaxis, Singapore 138522. This role will oversee both hard and soft services at this 38,000sqft office space in a multi-tenanted building, manage vendors effectively, andmaintainpositive interactions with the local customer while leading a small team. **ESSENTIAL DUTIES AND RESPONSIBILITIES** + Oversees and/or coordinates maintenance/repair work assignments performed by technicians, vendors and contractors performing building maintenance, greenery, pest control and janitorial work. + Responds to client inquires and complaints. Ensurestimelyand quality service delivery to clients. Follows up with clients to ensure customer satisfaction. + Performs facilities inspections and prepares reports. Ensure office equipment and facilities are wellmaintainedand renewals are in place. Work with EHS to ensure office safety and management is place. + Present Monthly Business Reviews (MBRs) to the local customer, with the help of the account finance team. + Keep track of Key Performance Indicators (KPIs) for the site. + Responsible for Health & Safety at the site: report monthly safety observations, ensure that subcontractors and staff follow CBRE HSE procedures, organize safety stand downs whenrequired. + May coordinate and manage move, add and change activities.Assistsin the preparation of operating and capital budgets. + Manages vendor relationships and trains vendors on work order and billing procedures. Processesinvoicesand ensures proper costcentercoding. + Initiate and execute consultations and request for proposals to secure the best possible deals with suppliers, with the help of the account procurement team. + Creates work orders and assigns work orders to multiple technicians,subcontractorsand vendors. Communicates work orders to technicians andassistsmanagement in resolving problems. + Provides reports on open and closed work orders and checks status with theappropriate technicianor vendor. + Maintains files on work orders, proposals, and department files. + Creates vendor files and checks accuracy on completed paperworksubmittedby vendors. + Assistwith process and procedure training. + Receives and directs incoming calls toappropriate personnel. Handle inward and outward mail and deliveries efficiently andmaintainrecord for tracking. + Greets and announces clients,applicantsand visitors. Management of office access cards. Custodian of all master office keys for security purposes. Follows security procedures for recording guests,suppliersand other visitors. Arranges escorts as needed. Issues visitor passes andvalidatesparking. + Assistswith scheduling and preparing meeting and conference rooms. Coordinates setup of conference/meetings rooms. Arranges for and reserves projectors and other meeting equipment, ensuring equipment is in good operating condition. Arranges video and/or web conferencing as needed. + Coordinates catering for meeting and events. May negotiate pricing and menus. Secures approvals for catering expenses and reviews invoices to arrange billing to appropriate department or business unit. + Performs general clerical duties associated with distributing office faxes, packages and mail asrequired. Uses tracking systems to record inbound and outbound courier,freightand mail. Meters mail. Arranges messenger service as needed. Follows location security procedures for screening inbound deliveries. + Orders office supplies and other common use items for the location, such as café supplies, equipment toner, printer paper,freightand shipping supplies etc. + Maintains neat appearance reception area, conference rooms café and othercommon areas. Requests building and housekeeping services as needed. Periodically inspectscommon areaequipment to ensure good operating condition. Arranges equipment service as needed. + Maintains records and logs of service requests and tracks their status. + Maintains a file of services including transportation sources, accommodations, and referral contacts. May arrange convenience/hospitality services for guests such as transportation, tickets, reservations, etc. + Other duties may be assigned by line manager. **SUPERVISORY RESPONSIBILITIES** + May provide informalassistancesuch as technical guidance and/or training to coworkers. + May coordinate work and assign tasks. + Direct supervision of the Facility Coordinator position, including performance management, work assignment, and professional development. + Provides training and development for direct report to enhance their skills and capabilities. + Delegates tasks appropriately and oversees work quality and completion. + May provide informalassistancesuch as technical guidance and/or training to coworkers. + Coordinates work andassignstasks to team members and vendors. **QUALIFICATIONS** + To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
