Senior Administrative Assistant

We are seeking a highly organized and proactive Senior Administrative Assistant to join our team in Montreal.

The Senior Administrative Assistant will provide administrative and operational support to our team of consultants in Montreal. This includes arranging travel, preparing and submitting expense accounts, managing calendars as needed, ensuring high-quality document standards, planning local team events and meetings, coordinating and communicating with clients as necessary, etc. Additionally, the Assistant will seek to continuously improve administrative processes and operational efficiency to ensure the team can be as productive as possible.

This is a hybrid role that requires being in the office 3 days a week.

We will count on you to:

Manage calendars, schedule meetings, resolve scheduling conflicts, organize department social functions, and arrange travel to optimize work performance.Draft forms and documents including client memos and project agreements, using standard MMC templates and adapting the content as necessary.Develop and maintain filing systems and procedures, including updating and purging files to maintain department information.Handle internal and external inquiries to support a high level of customer satisfaction and effective communication.Undertake general administrative duties and specific projects as required.Continuously improve administrative processes to maximize the productivity of the team.

What you need to have

Excellent time management and multitasking abilities.Bilingual proficiency in French and English (oral and written).Strong problem-solving skills and ability to troubleshoot equipment and system issues.High level of discretion and confidentiality.Proficient in office software and database management.Ability to work independently and as part of a team.
