The SFESOM Registrar develops and delivers services and programs related to the maintenance of permanent records, registration, grading, academic policies, verifications, graduation, and records management for students and Alumni at the SFESOM . This includes serving on event committees that are pertinent to the role and records of the Registrar. This position requires the use of multiple database systems internal and external to the U and required by the Association of American Medical Colleges ( AAMC ), including, but not limited to, PeopleSoft, Electronic Residency Application Service ( ERAS ), National Residency Matching Program ( NRMP ), Early Match Databases, Student Records System ( SRS ), National Board of Medical Examiners ( NBME ), Visiting Student Learning Opportunities ( VSLO ), SFESOM Tools database, OnBase, CourseDog and curriculum specific databases. Frequent collaboration occurs with various departments in the SFESOM , University of Utah Health, and other health systems within the community and nationally. Our generous**University staff benefits**package includes but is not limited to healthcare and dental plan options, tuition reduction, UTA pass (Bus, TRAX , & FrontRunner), paid holidays, paid leave time, employer and employee paid retirement, and more! **Responsibilities** + Oversee medical student records process by leading a registrar team to maintain current and archived records, interpret guidelines and policies regarding student records, and communicate effectively to students, staff, and faculty as it relates to this position. + Serves as liaison with main campus Registrar’s Office to comply with university policies and federal FERPA law to ensure medical students’ courses, enrollment, graduation, biographical data, and verification process are in accordance with main campus university systems, AAMC , and medical school databases. + Collaborates with SFESOM Curriculum Office to effectively use the Kuali Curriculum Management system, SFESOM Tools database, and PeopleSoft to process new course submissions, catalog changes, section creations, calendaring, and any other course needs, while reviewing workflow process for efficiency. + Manage and update course catalogs to be published on the main campus and in SFESOM Tools. + Coordinate course registration (including adding/dropping of courses by deadlines), collection of grades, and recording of final grades and student performance evaluations, and submit into PeopleSoft, Tools, hold report resolution, and any other databases as required. + Maintain, review, and edit student records through the graduation check process for certifying graduation requirements for MD and masters degrees awarded. This includes auditing for duplicate course enrollment, grade verifications, and coordinating with advisors when needed to ensure graduation requirements are met for medical students. + Coordinate the Visiting Student Learning Opportunities ( VSLO ) program including verifying academic standing, accurate documentation, application requirements are satisfied, verifying student enrollment, and all procedures for visiting students to comply with placement at University of Utah Health, Intermountain, or other regional health locations. + Maintain data and run requested reports and queries, generate internal transcripts, enrollment reports, letters of good standing, and class statistics reports, enter NBME scores, and verifications of education (and other needed requests) for medical students and Alumni verifications for licensure. + Oversee the preparation and submission of the Medical Student PerformanceEvaluation ( MSPE ), and enrollment into the Electronic Residency ApplicationService ( ERAS ), certify eligibility for residency matching services including theNational Residency Match Program ( NRMP ), the San Francisco Match, the Urology Match, and the Military Match. + Coordinates with medical school IT to update the internal database, Tools, to effectively maintain and produce records. This includes creating effective ways to add and remove users (students, staff, course coordinators, and faculty) by assigning, creating, and implementing appropriate training within the system. + Supervise staff including assigning and evaluating work, approving timecards in MyTime, conducting performance evaluations, and all other supervisory duties for the Registrar team. + Will serve, including co-lead, on Commencement and Match Day event committees, and any other committees as needed. + Other duties as assigned. **Work Environment and Level of Frequency typically required** Nearly Continuously: Office environment **Physical Requirements and Level of Frequency that may be required** Often: Sitting, Repetitive hand motion (such as typing), hearing, listening, walking Seldom: Bending, twisting, kneeling, pulling, pushing, lifting – up to 50 pounds **Minimum Qualifications** Bachelor’s degree in related field, or equivalency (one year of education can be substituted for two years of related work experience); plus 3 years related experience required. Demonstrated human relations and effective communication skills required. Experience working in higher education preferred. Supervisory experience preferred.
