Our canine group, under Allied Universal® Enhanced Protection Services, is hiring a Scheduling Supervisor. The Scheduling Supervisor will be responsible for all Scheduling and Administrative duties for their assigned clients. This position reports directly to the Scheduling Manager and will perform as the day-to-day supervisor overseeing the department to ensure Scheduling Representatives are properly implementing best practices and effectively completing the scheduling process.
RESPONSIBILITIES:
Manage daily workload and delegation of tasks to assigned Scheduling Representatives; evaluate Representative performance as well as make corrections to staffing decisions where necessarySelection and placement of Scheduling Representatives; design and implement career development and performance improvement plans; make decisions regarding the hiring, scheduling, termination of direct reports; participate in decisions regarding promotion and employment terminationAssume leadership role on behalf of Scheduling on Company-wide initiatives (e.g., reducing the number of Callouts, tracking overtime, tracking Call-Ins, etc.); gather input from all Scheduling groups, summarize, and share with larger groupRepresent MSA when dealing with Scheduling Vendor (EPAY); negotiate system enhancements, leverage, and manage relationship recognizing the importance of the issue to the companyDesign Scheduling Representative initial and ongoing training programs; ensure completion; evaluate effectiveness of guidance materials and make updates as needed; schedule required trainingOversee and maintain work schedules of direct reports (to include coordinating vacation and other leaves)Manage escalated client requests or complaints to ensure issues are being rectified in a timely manner; make independent decisions to accommodate a client request that might be outside of the normal approach: escalate to Operations Management as neededDevelop processes for tracking and maintaining customer employee cancellation and employee refusals for accepting posts; ensure process is implemented across Representatives to allow for alternative assigning of employeesIn the event of emergency service requests; oversee process of scheduling employees and ensure the quality of services performed by the scheduling teamWork with Sales Department and Operations Management to determine ability to support prospective client requests; creatively find solutions without “adding more resources” being the only answerProvide input on staffing and recruitment needs, focused on specific areas, times, clients, etc.; build a case where and why additions to staff are neededCommunicate and coordinate with Scheduling team, our operations personnel, and MSA management to adjust when necessary due to changes in the schedule (client requests, callouts, etc.)Oversee and manage the scheduling operation to include:Planning and communication of the weekly shifts to cover all posts in the assigned regionManagement of scheduling needs for complex accounts; analyze daily, weekly, and monthly reporting trends, to proactively anticipate additional staffing requirements for the clientCorrespondence, calls and emails, from employees regarding their availability; make appropriate scheduling changes as they are receivedBest use of judgement to determine strategic employee placement based on client needsEstablishment of rapport with Handlers and Operatives to develop strong working relationships, which will help during busy periods or times when last minute requests are madeCollaboration with Human Resources on matters including but not limited to personnel information, incident tracking, and disciplinary action of scheduling staffManagement of licensing credentialsAddressing tardiness of employees and coordinate disciplinary actions with relevant supervisorsAddressing daily call outs and process of locating replacements for the shiftsCoordination of Handler daily schedules and make adjustments in a timely fashionCollaboration with field supervisory staff in order to establish best practicesQUALIFICATIONS (MUST HAVE):
Must possess one of the following:High school diploma or equivalent with a minimum of four (4) years of scheduling experienceAssociate’s degree in Business, Criminal Justice, Management, or related field of study with a minimum of two (2) years of scheduling experienceBachelor’s degree in Business, Criminal Justice, Management, or related field of studyMinimum of three (3) years of work experience in a supervisory roleExceptional organizational skillsStrong attention to detailDemonstrated ability to make independent decisions quickly; to reprioritize importance of issues and to resolve issues in order of importanceAbility to follow up and work independentlyAbility to work in a dynamic environment; effectively manage multiple priorities simultaneouslyKnowledge of Microsoft Office Suite with the ability to create and analyze reports, as necessaryProficiency with all forms of communication to include emails, phone calls and text messages to effectively communicate with employees regarding schedulingAbility to make fast scheduling decisions as changes and adjustments occurAbility to collaborate with employees involved from both scheduling and additional departmentsPREFERRED QUALIFICATIONS (NICE TO HAVE):
Knowledge of Scheduling or Scheduling softwarePrior experience working in a complex staffing environmentPrior experience working with explosive detection canine handlers and/or knowledge of the region and client sitesBENEFITS:
