Sales Operations Coordinator
Overview The Role The Sales Operations Coordinator is a critical control point between revenue creation and revenue recognition. This role owns the accuracy, completeness, and discipline of contract, CRM, and ERP data as projects transition from Sales to Operations. Success in this role is not defined by processing paperwork - it’s defined by preventing downstream operational failures, enabling clean handoffs, and ensuring leadership can trust the data used to recognize revenue, staff projects, and deploy capital. This position is ideal for a high-judgment, detail-obsessed operator who enjoys finding gaps, tightening systems, and quietly raising the performance bar across Sales and Operations. High performers in this role develop the commercial instincts and systems fluency required to grow into Sales Operations, Commercial Finance, or Systems Leadership roles. Who We Are GeoStabilization International (GSI) designs and installs innovative solutions that protect people and infrastructure from geohazards. We specialize in emergency landslide repairs, rockfall mitigation, earth retention, deep foundations, and grouting using advanced design/build and design/build/warranty delivery models. We operate across the United States, Canada, and Australasia, solving complex problems in unforgiving environments. Our culture values extreme ownership, disciplined execution, data-driven decisions, and results over activity. Responsibilities Commercial & Data Control + Validate that fully executed contracts are complete, compliant, and accurately reflected in CRM prior to Closed-Won status. + Serve as the final quality gate before revenue recognition - catching errors others miss. + Ensure scope, pricing, terms, and key metadata align across contract documents, CRM, and ERP. ERP & Project Setup + Upload and structure project budgets in the ERP system, issuing job numbers and ensuring clean handoff to Operations. + Make disciplined adjustments as projects transition from Sales assumptions to operational reality. + Establish clean, trackable metrics that Operations and Finance can rely on from day one. Audit, Reconciliation & Accuracy + Conduct monthly audits and reconciliations supporting sales recognition and financial accuracy. + Identify discrepancies early, resolve root causes, and prevent repeat failures. + Maintain documentation and controls that stand up under scrutiny from leadership and auditors. Continuous Improvement + Identify system gaps, process breakdowns, and data integrity risks. + Support system improvements, reporting enhancements, and cross-functional initiatives. + Bring forward recommendations that reduce friction, improve speed, and increase confidence in commercial data. Qualifications Minimum Qualifications + Associate’s degree with 2+ years of relevant experience or Bachelor’s degree in Business Administration, Finance, Accounting, or related field. + 1–3 years of experience in sales operations, project accounting, revenue support, or commercial administration. + Strong proficiency with ERP systems and advanced Excel (reconciliation, analysis, structured data work). + Demonstrated ability to identify data issues, reconcile discrepancies, and propose corrective actions. + Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. + Clear communicator capable of working across Sales, Operations, Finance, and leadership. Preferred (Strong Differentiators) + Viewpoint Vista (Trimble) experience. + Prior experience in construction, engineering, or project-based businesses. + Exposure to CRM systems (Salesforce preferred) and revenue recognition processes. How We Evaluate This Role (Interview Focus) + Operational discipline and intolerance for sloppy data + Strong judgment under ambiguity and time pressure + Pattern recognition - seeing systemic issues, not just individual errors + Ownership mindset: “If it breaks later, I should have caught it earlier” + Curiosity about how systems, incentives, and workflows actually work Top-10% potential candidates for this role + Treat data accuracy as a form of leadership, not admin work + Can clearly articulate how errors upstream destroy margin, schedules, and trust downstream + Proactively design controls and checklists without being asked + Show early signs of scaling impact beyond their job description Solid candidates keep systems running. Exceptional candidates quietly prevent failures before anyone knows they were possible.
