What you will have an opportunity to do:

Position Summary

The Sales Coordinator supports the Sales & Marketing team by providing administrative, operational, and client-facing assistance to drive revenue and ensure exceptional guest experiences. This role plays a critical part in communication and execution, serving as a liaison between Sales and all hotel departments to ensure seamless coordination of group and event business.

The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced hospitality environment.

Key Responsibilities

Sales & Administrative Support

Answer incoming sales calls and respond to inquiries in a timely and professional mannerDistribute incoming leads to appropriate Sales ManagersAssign and track lead points within the sales systemMaintain and update client accounts in Delphi (or applicable CRM system)Prepare contracts, proposals, banquet event orders, and supporting documentation as directedEnter and manage rooming lists accurately and efficientlyAssist with preparing weekly sales reports, pace reports, and production reportsMaintain accurate file management for all group and event documentation

Client & Event Support

Conduct site tours for prospective clients as neededAssist in coordinating client visits and VIP site inspectionsSupport event detailing and ensure proper internal communicationMonitor group cutoff dates, deposits, and contract deadlinesProvide timely follow-up with clients regarding reservations, rooming lists, and event updates

Interdepartmental Liaison Responsibilities

Serve as the primary liaison between the Sales Department and Operations, Front Office, Catering, Banquets, Revenue Management, and AccountingCommunicate group and event details clearly to all operational departmentsEnsure accurate turnover of definite business from Sales to OperationsAssist in resolving discrepancies between departments regarding billing, rooming lists, event details, or client expectationsParticipate in BEO and operations meetings as needed to support seamless execution

Operational Coordination

Ensure all sales files and documentation are complete and organizedSupport monthly sales meetings and prepare necessary materialsMaintain inventory of sales collateral and marketing materials

Assist with special projects and initiatives to support revenue growth

What are we looking for?

Qualifications

Previous hotel or hospitality experience preferredExperience with Delphi, OnQ, or similar hotel sales systems preferredStrong organizational and multitasking skillsExcellent written and verbal communication skillsProficient in Microsoft Office (Word, Excel, Outlook)Ability to work independently and as part of a teamProfessional demeanor with strong customer service skills

Physical Requirements

Ability to stand and walk property during site toursAbility to lift up to 25 lbs occasionally
