BASIC FUNCTIONS: The Sales Coordinator primary role is to perform general office duties to support Sales Team e.g. filing, sending emails, faxing, copying, group/individual reservations, loading special or negotiated rates on to the property management system and Maintaining Customer and company profiles. Working in Delphi running reports, updating files. We should assist in selling guest rooms, catering services and banquet facilities as directed by the DOSM. Also provide high-level administrative support by conducting research, preparing reports, collecting and processing sensitive data, resolving guest issues and also performing clerical functions to help support the sales and marketing team. Qualifications QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING & WORK EXPERIENCE 2+ years of experience in resort or hotel sales support, ideally in a full-service or luxury property Familiarity with group sales processes, room blocks, contracts, and event coordination Proficient in sales and property management systems (e.g., Delphi.fdc, Opera, Salesforce) Strong organizational and multitasking skills in a high-volume, fast-paced resort environment Excellent verbal and written communication skills for client interaction and internal collaboration Proven ability to prepare proposals, sales reports, and support site visits and FAM tours Professional demeanor and commitment to delivering outstanding guest service High level of attention to detail, accuracy, and ability to meet deadlines Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) Previous experience in a destination resort or with golf, spa, or conference services is a plus Associate or bachelor's degree in Hospitality, Business, or a related field preferred ESSENTIAL FUNCTIONS: Answer telephone and respond to caller inquiries in a pleasant manner. Answer client / bookers questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants etc.) Assign leads as a lead catcher to appropriate sales manager. Work in Delphi to run weekly, monthly and quarterly sales reports Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Responsible for coordinating internally with the sales & marketing team. Generating reports, preparing proposals, collecting details, coordinating with clients & suppliers. Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, banquet event orders and meeting summaries. Gather materials and assemble information packages (e.g. brochures, promotional materials, sales demo kit, welcome kit, souvenir etc.). Generate group and/or social catering leads through incoming calls and miscellaneous websites. Assist sales team by managing schedules, filing important documents and communicating relevant information. Record, transcribe and distribute minutes of meetings. Meets with clients in the absence of the Director of Sales, Catering or Sales Managers to effectively and professionally convey details of the sale to the client. Perform hotel site tours with potential clients if salesperson is not available. Monitor, screen, respond to and distribute incoming communications. Design, upload, extract and maintain customer databases. Using our Delphi system to due accomplish daily sales duties. Load and Manage Rate Codes to the Hotel Software and link the negotiated rates to the correct company profiles. File and retrieve documents and reference materials. Conduct research and collect data to prepare reports and documents. Utilizes efficient sales strategy for the maximization of hotel revenue. Ensures all documents produced by the Sales Department (i.e. BEO’s, contracts, rooming lists, proposals) are completed accurately and on time. Respond to complaints from customers and give after-sales support when requested. Ensure the adequacy of sales-related agreement, BEO’s and turn over documents are available at all times. Prerequisites: Must have experience working in Delphi Speak with others using clear and professional language. Prepare and review written documents accurately and completely.
