REMOTE - Production Coordinator
Job Description A large software and gaming company is seeking a Production Coordinator to support the rollout and adoption of an evolving external art production ecosystem. This role works closely with Art Development leadership and External Development to help coordinate workflows, standards, documentation, and tooling that enable high-quality, cost-efficient outsourced art production. As the company continues to evolve how it partners with external art vendors, this role plays a key part in supporting that transition with a focus on improving visibility, documentation, communication, and adoption of new production practices that are critical to predictable scale, quality consistency, and long-term efficiency. This role will regularly interface with external vendors and is expected to represent professionally and thoughtfully in all communications and interactions. This is an operational support role focused on enabling execution rather than owning delivery, well suited for someone interested in art production and outsourcing who enjoys building structure, improving processes, and working across teams. What You’ll Do ● Coordinate and support the design, rollout, and refinement of evolving external art production workflows, standards, and tools in partnership with Art Development leadership. ● Assist with organizing and maintaining production documentation, including standardized asset briefs, delivery requirements, playbooks, and reference materials ● Support adoption of new workflows and tools by gathering feedback, documenting issues, and highlighting gaps or friction ● Assist with coordinating vendor onboarding materials and readiness checklists as standards evolve ● Track feedback and adoption challenges related to new tools, workflows, or automation initiatives Visibility, Insights & Cross-Team Coordination ● Assist with compiling and organizing production-related information used in vendor discussions, planning conversations, and process improvement efforts ● Partner with External Development (XDev) to support shared visibility into vendor performance insights and delivery trends ● Help organize reference materials and historical inputs used in capacity and forecasting discussions ● Coordinate recurring syncs and working sessions, capture notes and action items, and help ensure follow-up visibility ● Serve as a coordination point for production-related questions as workflows and responsibilities are clarified We are a company committed to creating diverse and inclusive environments where people can bring their full, authentic selves to work every day. Skills and Requirements ● 2+ years of experience in production coordination, project coordination, or operations support within games, VFX, animation, or a related creative industry ● Strong organizational skills and the ability to support multiple workstreams at once ● High attention to detail and follow-through, particularly when coordinating documentation, workflows, and vendor-facing materials ● Experience working with external partners or vendors in a coordination or support capacity ● Hands-on experience using production tracking and coordination tools such as Airtable, Shotgrid, or similar systems ● Comfort working with spreadsheets, documentation, and basic production data ● Strong written and verbal communication skills, with the ability to convey information clearly and professionally across teams and with external partners ● Familiarity with art production and outsource pipelines ● Experience supporting workflow rollout or process improvement initiatives ● Comfort working with distributed teams across time zones ● Interest in production operations, tooling, and scalable production systems
