Regulatory Operating Consultant

The Regulatory Operating Consultant will lead system optimization, compliance, and user adoption for Veeva Vault RIM. This individual will serve as the system SME and business process owner, responsible for daily system administration, configuration, and cross-functional process alignment. The role emphasizes business enablement, training, and process excellence — not IT development — and is best suited for a hands-on implementer with strong regulatory operations experience.

Responsibilities

Lead day-to-day management of Veeva Vault RIM, including modules such as HA Interactions, Submissions, Archive, and Reports.Administer users, roles, metadata, and lifecycles; manage change requests and release cycles.Conduct new-user onboarding, departmental training, and monitor usage/training compliance.Define workflows and best practices for regulatory submissions, HA interactions, and document management.Develop and maintain SOPs, work instructions, and process maps.Manage audit trails, validation documentation, and issue logs in alignment with GxP expectations.Develop dashboards and flowcharts to track system utilization, submissions, and compliance metrics.Collaborate closely with Regulatory Affairs, Quality, and IT to support inspection readiness and system optimization.

Essential Skills

5–8+ years of experience as an administrator with Veeva Vault RIM in a life sciences or biotech environment.Strong knowledge of regulatory operations, GxP compliance, and document management.Experience in system configuration, training, and user support.Strong understanding of change control, audit readiness, and continuous improvement.Excellent communication skills and ability to collaborate across departments.

Additional Skills & Qualifications

Bachelors Degree preferred, AS degree required.Veeva Vault Business Admin Certification or Veeva Vault Admin Certification preferred.Experience in a small biotech or CRO environment highly desirable.

Work Environment

This role is a hybrid position that requires 2 days onsite a week.Job Type & Location

Pay and Benefits

The pay range for this position is $72.00 - $85.00/hr.
