Position Summary: The Provider Recruitment and Retention Coordinator, under the direction of the Assistant Vice President of Physician Recruitment and Retention is responsible for the coordination and supervision of the daily operations of Recruiting Services (to include in-house recruiting, external agency recruiting, advertising coordination, community relations, etc.) and to assist Vice President in coordinating retention efforts with the Provider Services Department. They are responsible for the administrative functions of the recruitment process and participate with the Vice President in program development and performance improvement. The Recruiting Coordinator will effectively collaborate with other departments to integrate overlapping processes and support the total recruitment effort. The Recruiting Coordinator must maintain strict confidentiality in all matters pertaining to applicants and employees of Guthrie. The Recruiting Coordinator consistently demonstrates the core values of Guthrie and serves as a role model to other employees.
Education, License & Cert:
High School Diploma or equivalent required.
Associates degree is preferred.
Experience:
3 years prior experience performing duties specifically relevant to recruitment &/or healthcare environment is required. Previous health, sales, marketing, or recruiting background with specific knowledge of the medical/physician community is preferred.
Exposure to and thorough understanding of PC software applications is required.
Essential Functions:
+ Serves as a primary point of direct administrative contact and liaison with other offices, individuals and agencies on a range of specific issues; organizes and facilitates meetings, conferences and other special events as required. Focus on continuous quality customer services forging a collaborative partnership with operational customers.
+ Assists in activities associates with external and internal recruitment process. This includes: coordinating phone interviews with candidates; developing and maintaining working knowledge of the health system and regional communities to assist with candidate inquiries; working with the in-house physician recruiters to develop a comprehensive candidate itinerary; assisting recruiters with the facilitation of the candidate site visits including travel; meals; gives facility tours and escorts candidates as needed; and pulls post-interview feedback and shares with recruiter.
+ Updates Applicant Tracking System when contract is received.
+ Provides confidential administrative support for department leaders, manages calendars, prepares reports as needed. Gathers, enters and/or updates data to maintain departmental records and databases. As appropriate establishes and maintains files and records for the office.
+ Responsible for timely and accurate processing of all department invoices, including obtaining blanket purchase orders; coding credit card transactions; submitting check requests for reimbursement; processing candidate reimbursements.
+ Tracks and oversees the day-to-day management of supplies, equipment, and facilities for the office as appropriate, to include maintenance, inventory management, logistics, security, and related activities. . Works within allocated budget; makes recommendations for staffing, equipment, supplies, and physical facilities. Monitors supply and equipment usage, taking measures to operate within budget limits. Identifies and implements ways to provide service in the most cost-efficient manner.
+ Ensure compliance with all legalities, including recruitment guidelines and regulations. Self-motivated with excellent organizational skills, and a history of achieving results, demonstrated excellent interpersonal skills with the ability to effectively communicate with a diverse group of physicians, staff members, and senior management to develop positive relationships
+ Assists in the design, order, stocking of physician recruitment literature, packets, and brochures, as needed.
+ Assist with provider relocation
+ Write, edit, and proofread a variety of legal documents including but not limited to: contracts, proposals, letters, memos, and emails
+ Conduct research on relevant laws, regulations, and industry trends as needed
+ Work with clients and attorneys to understand the scope of work and develop an appropriate contract
Other Duties:
+ Travel for this position is sometimes required. Valid driver's license and means of transportation are required.
