Johnson Service Group (JSG) is seeking a Recruiting Administrative Assistant. Remote/ Work from Home - Must Live in California
Work Schedule: Monday- Friday, 8:00am- 5:00pm
Contract 3+ months
Pay Range: $26-$28.00 per hour DOE General Description The Recruiting Assistant will support the Talent Acquisition (TA) team with operational and administrative tasks with a primary focus on company's Intern and Fellow program. The role involves coordinating phone and interview scheduling and assisting with the program’s onboarding process. The Recruiting Assistant will also maintain and update candidate data in the applicant tracking system and help track the recruiting activity. Education and Experience Associate’s degree in Human Resources (HR), Business Administration or related discipline and two (2) to four (4) years of working experience as a Recruiting/TA assistant. Or five (5) to seven (7) years of comparable work experience. Skills Basic skills in organizing and managing candidate data. Intermediate proficiency in Microsoft Office applications (e.g., Word, Excel, Outlook, Teams.) Intermediate proficiency in using ATS to support the recruitment process efficiently. Advanced skills in coordinating and scheduling phone screens and interviews. Experience in supporting the onboarding process for new hires. Knowledge Working knowledge of tracking recruiting activity. Working knowledge of maintaining candidate data in an HRIS/ATS. Extensive knowledge of compliance requirements in recruitment. Working knowledge of current trends and best practices in recruitment. Abilities Ability to communicate and build rapport with candidates and hiring managers. Exceptional organizational abilities to support multiple job openings and recruitment tasks. Ability to address recruitment challenges and collaborate to make effective decisions. Flexibility to adapt to changing recruitment needs and priorities. Ability to work effectively with cross-functional teams to meet recruitment goals. Demonstrated ability to manage multiple scheduling requests and meet deadlines. Duties & Responsibilities TA Administrative Support Coordinate phone screen and interview scheduling between applicants and hiring managers and send out interview confirmation emails to candidates. Assist with collecting phone screens and interview evaluations from hiring managers and interview panel participants by the designated timeframe. Provide updates to candidates in a timely manner and send rejection notifications to candidates that are not selected, and background invitations to candidates that are selected. Provide support by filing electronic files in their designated area. Support with the preparation of offer letters and other onboarding materials. Data & Reporting Support the recruiting team with various data needs and projects. Assist the TA team in maintaining the ATS by dispositioning candidates. Update candidate data, contact information, documentation, interview notes, and communications with candidates on a regular basis. Assist the TA team with tracking recruiting activity for intern and fellow program. Perform other duties as assigned.
