**About the Role:**
As a CBRE Receptionist / Mailroom Operator, you will provide administrative tasks to a department or office. This includes greeting visitors, answering calls, setting up meeting rooms, and other duties.
This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.
**What You’ll Do:**
**Customer Service and Overall Satisfaction**
+ Responsible to oversee the operational aspects for the mailroom including logistics, vendor management, budgeting, and on-site coordination.
+ Assists with Front Of House management activities such as receiving visitors / VIPs for meeting and events when necessary.
+ Orders office supplies and other common use items, such as pantry supplies, and Business Card, Stationery and etc.
+ Processing invoices, PR, PO and ensures to code to the respective department. Maintains records of DO/PO/invoice to tracks their status. Esp Workday System.
+ Handle inquiries and feedbacks from Teams, email, and in-person
+ Assisting staff in booking of meeting rooms/space
+ Maintain accurate records of reports and monthly meetings of minutes i.e Canon reports, closing reports, meeting minutes, inventories etc
+ Assist with billing and invoicing processes i.e Stationery, beverages, ad hoc works and ect.
+ Handle and resolve any issues or disputes with staffs.
+ Organized team bonding events with existing welfare team
+ Assist Soft Services Manager to manage daily operations support.
+ Ensure compliance with all legal, health, and safety regulations.
+ Secures approvals for purchase expenses and reviews invoices to arrange billing to appropriate department or business unit.
+ Assist Soft Services Manager oversee mailroom operations, ensuring smooth execution and timely resolution of any issues.
**Administrative Works**
+ Provide administrative support to ensure that office support services are provided in an effective and efficient manner.
+ Handling of company official document for postage or courier. Maintain and record the usage of postages and registered mails.
+ Source for suppliers and purchase of office supplies.
+ Source for suppliers and prepare festivals gifts and decor client / staff for major celebrations i.e CNY, Hari Raya, Deepavali, Christmas etc.
**Communication**
+ Liaise with internal departments, external partners, and vendor sponsors to align expectations and ensure successful event delivery.
+ Provide regular and timely updates to managers / stakeholders on operation progress, challenges, and outcomes.
+ Act as the main point of contact for staff related inquiries, maintaining effective communication channels.
+ Disseminate communications through mass email to all departments.
**What You’ll Need:**
+ Diploma in any field, with a minimum of 2 years of relevant experience.
+ Excellent client relationship skills
+ Well spoken, Strong communication and language skill
+ Ability to effectively respond to complex inquiries or complaints from clients, line management and supply chain,
+ Experience in mailroom operations and processes.
+ Intermediate skill with Microsoft Office Suite, Excel, Power Point
+ Knowledge in Workday and Visitor Management System (Condeco) will have an added advantage.
