Beacon Hill is partnering with a well-established real estate-focused professional services firm to identify a Receptionist / Client Services Coordinator for a contract-to-permanent opportunity. This role is 100% onsite and is ideal for someone with prior real estate office front desk experience who thrives in a client-facing environment.

This position is the first point of contact for clients, agents, and visitors and plays a critical role in ensuring a smooth, professional experience throughout the real estate transaction lifecycle.

⚠️ This team is specifically seeking candidates who have worked the front desk at a real estate office. Real estate experience is not optional.

POSITION DETAILS

Assignment Type: Contract-to-Perm
Schedule: Monday-Friday, 9:00 AM - 5:00 PM
Pay Rate: $24/hour
Conversion Salary: $55,000-$60,000
Work Environment: Onsite
Dress Code: Business casual (no visible tattoos)

ROLE SUMMARY

The Receptionist / Client Services Coordinator serves as the front-facing representative of the office while also supporting pre-closing and post-closing administrative functions. This role requires strong communication skills, attention to detail, and the ability to juggle multiple priorities in a fast-paced real estate setting.

KEY RESPONSIBILITIESFront Desk & Client Experience

* Answer and route incoming calls professionally and efficiently
* Greet clients, real estate agents, buyers, sellers, and visitors
* Maintain a welcoming, organized, and professional reception area
* Handle incoming and outgoing mail, deliveries, and courier packages

Pre-Closing Support

* Assist with new file intake and basic data entry
* Request and track documentation from buyers, sellers, agents, and lenders
* Schedule closings and send confirmations
* Prepare and organize files ahead of closing

Post-Closing Support

* Assist with post-closing file organization and checklist completion
* Send follow-up communications as directed
* Support document distribution, recording, and tracking

Administrative & Office Support

* Provide administrative assistance to attorneys and paralegals
* Maintain accurate records and confidentiality
* Support general office operations and coordination as needed

IDEAL CANDIDATE PROFILEMUST HAVE

* Prior front desk experience in a real estate office
* Strong customer service and phone etiquette
* Comfortable interacting with agents, buyers, sellers, and attorneys
* Ability to manage multiple tasks in a fast-paced environment

PREFERRED QUALIFICATIONS

* Experience supporting residential real estate transactions
* Background in a law firm, real estate office, or professional services setting
* Proficiency with Microsoft Office and willingness to learn closing software
* Professional, calm, and solution-oriented demeanor

EDUCATION

* High school diploma or equivalent required
* Associate's degree or higher preferred
