**About the Role:**
As a CBRE Receptionist, you will provide administrative tasks to a department or office. This includes greeting visitors, answering calls, setting up meeting rooms, and other duties.
This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.
**What You’ll Do:**
+ Operations:
+ Manage reception desk activities, including visitors’ registration, contacting host, issuance of visitor passes and contractor induction.
+ Foster and maintain positive working relationships with clients, client sub-contractors, suppliers and consultant.
+ Manage couriers and mail being sent and received.
+ Assist site FC with inspection and escorting as and when required.
+ Assist with the setup and breakdown of meeting rooms.
+ Monitoring of stationery stock on site and update the inventory record.
+ Lodging work requests via SI7. Handling complaints and troubleshooting problems. Report to FC if any issues finding.
+ Ensure documentation compliance (ie SWMS) is completed prior to site access been given to Contractors.
+ Ensure that the appropriate format and problem codes are used when raising Si7 WO’s
+ Minute take/attend at least 10 Ops meeting / FC meetings per year
+ Collate and prepare presentation of month end report for the region.
+ Maintain the utilization database daily for the region ensuring all data is submitted in a timely manner.
+ Maintain the CWID database for the client and ensure all IDs are extended in a timely manner.
+ Function as a backup for creation of WO’s and PO for FM’s/FC’s during absence or outages.
+ Check all meeting rooms, printers and common areas are clean and presentable every morning. Fill up the papers in printers if needed.
+ Ensure all AV equipment and meeting rooms have been set-up and operated as per guidelines.
+ All escalations follow the appropriate call tree for the event.
+ Ensure at least 3 safety observations per site per month are carried out and submitted via Harbour.
+ Ensure WO’s are raised in the CMMS system for any unsafe conditions.
+ Ensure at least 3 contractor spot checks are completed and saved on SharePoint.
+ Ensure First Aid Kit and AED machine are check monthly and stocked.
+ Ensure full compliance to the CBRE contractor management policy and ensure all compliance documents are stored in the appropriate location on SharePoint
+ All site audits conducted by CBRE Account HSE team are closed within 7 calendar days for Major and 30 calendar days for minor findings.
+ **Health & Wellness**
+ Awareness of the health, safety & environmental aspects of the delivery of facilities management.
+ Ensure all statutory compliance requirements are adhered to within the required timeframe. Electrical safety is carried out in accordance with the account guidelines.
+ Ensure chemical registers are reviewed on a quarterly basis.
+ Ensure all risk registers are reviewed and updated on an annual basis or when changes occur to the site.
+ Ensure each visitor/personnel visiting the site has been inducted and notified of the existing hazards
**What You’ll Need:**
+ High School Diploma or GED with up to 2 years of job-related experience.
+ Ability to follow basic work routines and standards in the application of work.
+ Communication skills to exchange straightforward information.
+ Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
+ Strong organizational skills with an inquisitive mindset.
+ Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
