Job Title: ReceptionistJob Description

As a receptionist, you will play a crucial role in maintaining the smooth and efficient operation of our office. You will be responsible for managing the office seating chart, answering and directing phone calls, tracking equipment inventory, and maintaining office supply levels. Additionally, you will handle mail and shipments, coordinate with various service providers, and ensure that office spaces are organized and well-maintained. You will also manage conference room schedules and assist with catering for meetings. Your role will support various departments through data entry and document control, as well as participate in special projects as needed.

ResponsibilitiesMaintain and update the office seating chart and phone list.Answer and direct phone calls to the appropriate person or department.Track inventory of equipment such as cars, trucks, and van pool cars.Maintain office supply inventory and manage orders with suppliers.Prepare shipments for Mail, FedEx, UPS and distribute incoming mail.Manage key fobs for employees.Coordinate with janitorial, building maintenance, coffee service, and shredding services.Handle copier maintenance and supply needs.Set up and clean cubicles, phones, and office spaces.Distribute mail, packages, and other items to employees.Schedule and manage conference room bookings.Ensure conference rooms and kitchen areas are tidy and organized.Coordinate catering for meetings.Conduct data entry and document control for Safety and Business Departments.Participate in special projects as required by different departments.Essential Skills1+ years of experience in receptionist or front desk roles.Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.Strong customer service and phone etiquette skills.Excellent written and verbal communication skills.Ability to multitask and manage time effectively.Attention to detail and strong organizational skills.Capability to work with individuals at all organizational levels.Additional Skills & QualificationsExperience in administrative support and clerical duties.Familiarity with peripheral technology like printers, digital cameras, scanners, and A/V equipment.Proven track record of meeting deadlines and managing project expectations.Ability to maintain confidentiality of sensitive information.High School Diploma (HSD) or GED is required.Work Environment

The position is based in a pleasant corporate office setting with a team of 40-60 employees, including project managers, engineers, and estimators. You will be stationed at the front desk, serving as the first point of contact for visitors and callers.

This is a Contract position based out of Vancouver, WA.

Pay and Benefits

The pay range for this position is $21.00 - $23.00/hr.
