The PositionKey Responsibilities
Visitor Management: Receives and announce guests, maintain visitor logs, and ensure the lobby area remains pristine and professional.
Mail & Logistics: Sort and distribute daily mail/packages; coordinate outgoing shipments (FedEx, UPS, etc.) and courier services.
Administrative Support: Assist the admin team in the coordination of daily events and support onboarding processes. Also support the admin team in administrative matters.
Supply Management: Manage the inventory of office and technical supplies. You are responsible for preventing both stock-outs (running out) and over-ordering. Place orders and maintain data and analytics.
Budgeting: Manage the petty cash and supply budget with strict adherence to financial limits.
Ticketing System & Workflow Triage
Ticket Dispatch: Monitor the team’s ticketing queue (ServiceNow). Review every incoming request for completeness before assigning it to the appropriate team member.
Quality Assurance: Reject or query tickets that lack necessary details, ensuring the technical team only receives actionable requests.
SLA Enforcement: Track ticket ages against our Service Level Agreements. Alert the Team Lead immediately when tickets are at risk of breaching deadlines.
Data Analytics & Business Reporting
Performance Dashboards: Create and maintain spreadsheets tracking Key Performance Indicators (KPIs), such as call volume, ticket resolution times, and visitor density.
Trend Analysis: Analyze data to identify peaks in workload or supply usage and present specific recommendations to the Team Lead to optimize resources.
Inventory Audits: Perform monthly reconciliation of physical inventory vs. usage logs to identify waste.
Requirements
Experience: Minimum 3+ years of experience in administrative management, office operations, or a senior reception role.
Technical Proficiency:
Required: Advanced proficiency in Google sheets (PivotTables, Conditional Formatting, Formulas) for reporting.
Operational Mindset: Demonstrated ability to create processes.
