Job Description
This is an entry-level clerical and frontline customer relations position, primarily responsible for the courteous and efficient facilitation of telephone calls and visitors. The role involves managing the flow of internal and external communications, such as incoming and outgoing telephone messages, visitors, messengers, and delivery services. The position receives moderate to light supervision in the performance of duties and responsibilities.
ResponsibilitiesGreet and promptly determine the nature of a caller's business, direct callers and visitors to the appropriate person, or take messages with all pertinent information.Operate the telephone console to facilitate internal messages and telephone calls.Provide answers to routine inquiries and other information as required.Perform simple clerical duties when time permits.Maintain courteous, professional, and effective working relationships with employees at all levels of the organization.Assume responsibility for providing timely, appropriate responses to requests, suggestions, or complaints, or refer such comments to the appropriate person.Keep supply room inventory stocked appropriately.Scan and file documents.Handle mail, both incoming and outgoing.Order and maintain uniform inventory up to date.Assist any department as needed.Perform other duties as requested.Essential SkillsHigh volume data entry accuracy with attention to detail and speed.Basic proficiency in Microsoft Office, particularly Word, Excel, and Outlook.Experience with CRM and billing systems such as Paycom.Bilingual in English and Spanish, with the ability to read, write, and translate documents and conversations.Comfortable handling approximately 30 calls per day and assisting employees professionally.Friendly and approachable interpersonal communication skills.Self-directed with the ability to manage time and tasks independently.Ability to multitask, handling phones, data entry, billing, and employee support.Process-oriented, capable of converting proposals to work orders, managing billing cycles, and ordering supplies.Additional Skills & Qualifications6+ months of office experience.Adaptability and a growth mindset with a willingness to learn and grow.Flexibility to adjust to changing priorities and personalities.Team-oriented with a sense of humor and camaraderie.Reliability and consistency, with a professional yet personable demeanor.Work Environment

Pay and Benefits
The pay range for this position is $19.23 - $19.23/hr.
