Reception & Switchboard Administrator

KEY RESPONSIBILITIES:
Answer and direct incoming calls efficiently; operate the switchboard professionally Welcome clients, visitors, and suppliers in a professional and friendly manner Perform general administrative tasks, including filing and data management Maintain an organized, tidy, and presentable reception are Support office staff with deadlines, urgent tasks, and clerical needs Handle sensitive information and numerical data accurately and confidentially Manage multiple tasks, prioritize workload under pressure, and ensure timely follow-up Prepare and deliver documents for client meetings Take ownership of assigned tasks and ensure completion Assist with administration related to estates, trusts, life policies, investments, and medical matters
REQUIREMENTS:
Matric / Grade 12 certificate or equivalent 1–3+ years of reception, switchboard, or administrative experience Fluent in Afrikaans and proficient in English Honest, reliable, and professional with a strong work ethic Punctual, well-presented, and proactive; willing to take initiative Own reliable transport and valid driver’s license Strong administrative, organizational, and multi-tasking skills Able to work under pressure and support colleagues as needed High attention to detail, particularly with numbers and sensitive information Proficient in MS Office: Outlook, Teams, Word, Excel, and standard office software Familiarity with, or willingness to learn, estate, trust, and related administrative processes Residence in Helderberg preferred
