Real Estate Project Management Specialist

We are seeking a detail-oriented and strategic Real Estate Project Management Specialist to support and manage real estate and facility-related projects within our security operations. Reporting to and partnering closely with the Lead Real Estate Project Manager, this highly motivated and trustworthy professional will plan, coordinate, and oversee tenant fit out and real estate initiatives across the portfolio. This role is responsible for managing projects from concept through completion—including site evaluations, lease coordination, renovations, relocations, and build-outs—while effectively coordinating project teams with limited supervision to ensure projects are delivered on time, within budget, without change orders, and in compliance with company standards and regulatory requirements, all in support of business growth, operational efficiency, and client service excellence. This position will be based out of the Securitas office located in Parsippany, NJ.

Essential Functions:

Manages and takes the lead on approximately 50% of all construction management projects once the lease has been negotiated. Responsibilities including communicating with the field, general contractors, and landlords; manages change order costs outside of lease terms and identifies alternative solutions to control or eliminate those costs; maintains constant communication with the field to advise as to the process and educate on the steps; works out project schedules with the landlord. Ensures compliance with building codes and Securitas guidelines. Requires knowledge of building code as well as researching and consulting local codes. 

Manages the project schedule. This includes presenting at the kickoff with general contractor, involving and follow up with the internal project team and the general contractor to ensure there are no delays and that all relevant parties are completing assigned items as required and informing all relevant parties throughout the project

Using CAD, creates floorplans (space programming) and alters existing floorplans to suit project needs and existing elements – based on Securitas Corporate Standards

Solicits bids for smaller construction projects in situations where landlord is not taking that responsibility; presents to the client (Securitas field offices), obtains appropriate approvals and engages contractors

Plans, coordinates and oversees Tenant Improvement project work scope

Coordinates tasks and resources between project team members

Contacts general contractor on landlord side and tenant to ensure projects fulfill all specifications and answers questions that may come up with field. Reviews to ensure requests correspond with lease, being sure to make recommendations and explains the implications if requests are outside of the work scope.

Ensures all final documentation is in order and maintained/on file with lease to maintain project integrity. Such documentation includes approved construction drawings, low voltage and furniture, any approvals of overages, changes orders, keeping a log of project milestones and notes, etc.

Contributes to special projects as assigned by department management. These include internal process improvement as well as working with other teams and department. 

 

Education/Experience: 

High School diploma or equivalent required 

2+ years’ minimum space planning, design, and project management experience required 

Intermediate experience with AutoCAD to create and alter floorplans

Intermediate space planning experience

 

Competencies: (as demonstrated through experience, training, and/or testing):

Ability to read, navigate, interpret, and mark up blueprints 

Ability to track and maintain assigned project load

Ability to carry out multiple assignments concurrently

Proficient with Microsoft Office (Outlook, Word, Excel), Adobe

Working knowledge of Smartsheet and Oracle a plus

Excellent oral, written, communication and time management skills

Problem solving skills

Ability to work independently, exercise judgement, and make decisions
