**Rates Payment Administrator (fixed-term)**
**Location** : Manchester or Birmingham
Full time, fixed-term for 12 months to cover parental leave.
The candidate will need to work within the National Rating team’s central Hub and rates management team to ensure that key roles are carried out to support our existing National contracts. The task will require a candidate to work independently with an elevated level of accuracy managing a large volume of work.
**Key Responsibilities**
+ Process scanned post daily, sort and action as required
+ Use rating technology and software to check and verify rate bills
+ Investigate bill queries, liaise with councils and other stakeholders to resolve queries
+ Assist Business Rates Officers with updating client payment portfolios to ensure that the data is correct, accurate and payments are made on time
+ Chase and reconcile refunds
+ Data Input into Riverlake system
+ Generate and update reports
+ Assist the wider team with administrative tasks as required
**Daily tasks:**
+ Check client mailboxes, action emails including processing rate bills, dealing with credits bills, and responding to council or client queries
+ Updating system and council following client’s portfolio changes including apply for rates relief where applicable. Changes are either sent adhoc or via monthly schedule.
+ Downloading bank statement to check for refunds received, adding details to client refund tracker and reconciling refunds.
+ Process post received to via Iron Mountain portal, moving into Lenses or to client mailbox
+ Actioning bills in lenses
+ Work closely with surveyors and senior surveyors for clients you cover to understand priorities for day / week and managing workload to ensure these can be delivered
**Weekly / Monthly tasks:**
+ Chasing expected refunds, updating comments on refund tracker so report is ready to send to client by due date
+ Assisting to reconcile refunds ready for monthly payover
+ Ensuring all bills validated and on system ready for monthly funding requests
+ Processing all client portfolio changes including updating system, contacting council to confirm changes and applying for rates relief where applicable.
+ Assisting to run client reports as needed
**Person Specification**
+ Business Rates Payment experience (desirable)
+ Accurate and exceptional attention to detail
+ Microsoft Office user
+ Good administrator
+ Flexible, responsible and dependable
+ Effective communication and interpersonal skills (written and oral)
+ Maintains a positive attitude towards routine tasks
+ Understands and appreciates the importance of using discretion
+ Team player who deals effectively with colleagues and clients
