The Purchasing Assistant, also known as Procurement Coordinator, plays a vital role in supporting the purchasing and supply chain team. This position involves administrative, clerical, and coordination activities related to the procurement of raw materials, packaging components, and supplies within a manufacturing environment. The role is responsible for creating and tracking purchase orders, entering and maintaining purchasing records in ERP and inventory management systems.
ResponsibilitiesCreate, update, and follow up on purchase orders.Maintain vendor and supplier information.Prepare purchasing reports and Excel spreadsheets.Support procurement coordination activities to ensure timely delivery of materials for production schedules.Communicate regularly with vendors and suppliers to request quotes, pricing, lead times, samples, and product specifications.Work closely with Accounts Payable to resolve invoice discrepancies and payment issues.Provide administrative support to Buyers and assist with sourcing activities.Track inventory and delivery schedules.Support cross-functional teams including Production, Manufacturing, Quality, R&D, Operations, and Accounting.Ensure accuracy, organization, and follow-through in supporting ERP systems, inventory tracking, documentation, and reporting in a fast-paced, deadline-driven manufacturing setting.Essential SkillsExperience in purchasing support, procurement, supply chain coordination, or administrative support.Proficiency in Microsoft Excel, including spreadsheets, reporting, VLOOKUP, and PivotTables.Comfortable working in a manufacturing or production environment.Experience with ERP systems, inventory management, vendor communication, and invoice reconciliation.Additional Skills & Qualifications1-2 years of experience or exposure to purchasing.Familiarity with SAP.Experience in accounts payable coordination.Proficiency in reporting and documentation.Understanding of GMP or regulated manufacturing environments (optional).Work EnvironmentThis office-based role is situated within a manufacturing environment, supporting purchasing and supply chain teams. It requires working in a fast-paced, deadline-driven setting with regular cross-functional collaboration. Pay and BenefitsThe pay range for this position is $20.00 - $23.00/hr.
