Job Title: Project Coordinator

Job Description

The Project Coordinator plays a vital role in facilitating engineering and construction projects by collaborating with the Project Manager and project team. This position involves coordinating both externally and internally with clients and project management to provide solutions and streamline project delivery.

Responsibilities

Assist Project Manager in preparation of client contracts and sub-contracts, including facilitating contract reviews by coordinating with internal departments such as Legal, Insurance, Purchasing, and Safety.Manage project set-up in corporate Management Information System and run reports to communicate project financials and status to PM and team.Collaborate with PM to make monthly adjustments as needed.Facilitate the dissemination of information to vendors, subconsultants, clients, and project teams as part of the overall communications and project management process.Prepare and present meeting notes, presentations, and tables utilizing Excel, PowerPoint, and other programs.Monitor project deadlines and benchmarks, and support the presentation of monthly progress reports covering action items and progress.Plan, coordinate, and facilitate on-site and off-site meetings for the project, including project orientation and training, stakeholder meetings, team meetings, client meetings, and periodic reviews.Coordinate required training programs and records for project personnel in conjunction with the corporate training department and project requirements to ensure compliance.Support in document control by maintaining electronic and paper files.Collaborate with the corporate Accounting Department to verify accuracy and compliance with project requirements of invoices, trip tickets, and expense reports, processing items in a timely manner.Provide follow-up reports on ARs and unbilled issues as assigned.Administer project closeout activities.

Essential Skills

Minimum 8 years of office/clerical experience.Construction/Engineering industry experience is a plus.Organized, with the ability to multitask and excellent communication skills.Advanced knowledge of Microsoft Word, Excel, Access, PowerPoint, and Adobe.Bachelor's Degree in a related field and 8 years of experience required, or Associate Degree in a related field and 10 years of experience required, or High School Diploma/GED and 11 years of experience required.Ability to work independently, demonstrating accuracy, reliability, organization, and problem-solving skills.Excellent organizational skills, attention to detail, verbal and written communication skills, and the ability to handle multiple tasks.Demonstrated ability to communicate with all levels within an organization.

Administrative support, data entry, customer service, clerical, administration, office support, administrative assistance, marketing, and project coordination.

This is a Contract to Hire position based out of Kansas City, MO.

Pay and Benefits

The pay range for this position is $24.00 - $30.00/hr.
