Project Coordinator
**ONSITE IN BOSTON** **LONG TERM CONTRACT** **Project Coordinator** This position must overlap with the working hours of the rest of the team, which are 8:45am-5pm M-F, but occasionally could require after-hours work for vendor meetings, testing, deployments, and emergency system recovery. **Position Summary:** Our client is undertaking its highest-priority initiative: implementing a unified Salesforce Licensing, Permitting, and Inspection (LPI) system to streamline operations and deliver a modern digital experience. To drive this critical effort, our client seeks a skilled **Project Coordinator** to lead coordination across business, technical, and vendor stakeholders and ensure successful technology implementation that meets evolving business needs. The Project Coordinator will support all phases of the system's development and maintenance, using agile methodologies and modern project management tools. This role demands strong execution skills—including managing calendars, meeting preparation and follow-up, deliverables, and timelines—as well as a sharp eye for coordination, documentation, and follow-up across multiple agencies and external consulting teams. The ideal candidate brings experience coordinating teams for large-scale IT projects. They will be detail-oriented, proactive in resolving problems, and with strong communication and organizational skills. **Responsibilities:** + Lead project coordination across DOL, external vendors, and agency partners—ensuring meetings are effectively scheduled, prepared for, documented, and followed up on with clear assignments and accountability. + Collaborate with senior leadership, including the DOL Salesforce Modernization Project Manager, Product Manager, and Deputy Commissioners, to ensure activities are coordinated, documented and aligned with the articulated goals and project plans. + Extensive knowledge of Microsoft Office 365 suite, including Excel, Word, PowerPoint, Sharepoint, Teams and MS Project plus ability to quickly learn online tools including Jira, Salesforce and other SaaS systems. + Create and maintain core project documentation and records management: charters, status reports, operational checklists, and dependency diagrams. + Maintain project artifacts, reports, trackers in SharePoint and ensure proper access to these to the appropriate team members within DOL and contractor. + Support preparation of regular project status reports and operational documentation. + Support licensing and access roster management: + Maintain and update SmartSheet rosters for vendor teams (e.g., Accenture). + Confirm completion of cybersecurity training and testing for all team members. + Track access provisioning and licensing across tools such as Microsoft Office, JIRA, Copado, and others. + Provide hands-on administrative and operational support: + Assist with resource scheduling and cross-team coordination. + Prepare executive-level reports and communication summaries. + Assist in user testing, training and data migration readiness: + Provide coordination and support during User Acceptance Testing (UAT), training, and business data validation. + Support data migration preparation activities alongside technical and vendor teams. + Support JIRA-based agile delivery processes: + Enter, update, and track JIRA tickets to ensure transparency across the delivery lifecycle. + Monitor and help maintain sprint backlogs and issue resolution status. + Track deliverables and risks, ensuring alignment with project milestones: + Work closely with business and technical stakeholders to ensure tasks are progressing, dependencies are managed, and risks/issues are escalated and resolved quickly. + Serve as liaison between DOL, external consultants, and Commonwealth agencies, capturing feedback and managing action items through the PMO system. + Support change management activities by ensuring clear communication and coordinated planning across business and technical teams. **Preferred Knowledge, Skills & Abilities:** + 2–5 years of experience in complex IT projects, ideally in the public sector or with multiple vendors and delivery partners. + Strong coordination, communication, and meeting management skills, including documentation and follow-through. + Familiarity with Salesforce implementations and/or large cloud-based system deployments. + Advanced proficiency with Microsoft Office 365, Teams, SharePoint Online, OneDrive, Project Online; Power BI a plus. + Strong problem-solving and root cause analysis capabilities. + Experience managing budgets and tracking KPIs to measure project success. + Excellent interpersonal and communication skills, with the ability to engage and influence stakeholders at all levels. + Experience working with large teams that leverage in-house and external agency team members. + **Location Details** This is a contract role and can be hybrid, with 2-3 days/week mandatory in the office in Boston that might vary from week to week, depending on vendor and team meetings.
