Project Coordinator
Job Title: Project CoordinatorJob Description The Project Coordinator is responsible for processing job work orders and purchase orders, coordinating deliveries, managing changes to purchase orders, and ensuring smooth communication and follow-ups with customers. The role involves collaboration with the Project Manager, scheduling team, and warehouse personnel to resolve customer issues and track job site concerns. The coordinator will also be responsible for processing post-installation summaries, maintaining accurate records, and providing complete information using appropriate tools and methods. Responsibilities + Process job work orders and purchase orders while communicating follow-ups with customers. + Collaborate with Project Manager and scheduling team to address customer issues. + Coordinate delivery of services and products with warehouse staff. + Manage and track changes to purchase orders. + Process change orders from job sites and track job site issues. + Communicate and report job site issues. + Compile post-installation summaries from the on-site team and follow up appropriately. + Maintain records of customer interactions, process, and close customer accounts, and file documents. + Follow established communication procedures, guidelines, and policies. + Serve as a liaison between the Project Manager and installers. + Organize team meetings and produce job summaries and daily reports for Project Managers/Sales. + Utilize MS Word and MS Excel regularly. + Use QuickBooks to manage purchase orders and track orders. + Process requests with Expediters. + Gather information for Project Managers and customers. + Provide administrative, clerical, customer service, and front desk support as needed. Essential Skills + 5-7 years of administrative or coordinator experience in construction trades such as carpentry, HVAC, or painting. + Proficiency in Microsoft Office, especially Excel. + High School Diploma or GED. Additional Skills & Qualifications + Experience in furniture, hardware, or distribution industries is a plus. + Experience with project management or project coordination. + Ability to multi-task, prioritize, and manage time effectively. + Strong written and verbal communication skills. + Ability to handle high-pressure, fast-paced environments. + Detail-oriented and deadline-driven. Work Environment The work environment consists of a small, outdated office with a team of approximately three people working closely with the owners. The office is laid-back yet high-pressure and fast-paced, with occasional noise from the adjacent warehouse. The office features individual cubicles near the warehouse area, and much of the work involves paper filing, although there are plans to modernize to a database system. The company is family-owned and growing, experiencing high demand for its services. There may be a move to a new office in 2026, located approximately 5-10 minutes away. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
