Department of Biology - Quebec Centre for Biodiversity Science (QCBS)

Position Summary:
Responsible for the management of the operations of the Quebec Centre for Biodiversity Science (QCBS). The management tasks include supporting the operations of the office and staff, the implementation of the QCBS governance structure, and developing the research funding program and supporting the training development opportunities for QCBS members. A key responsibility is providing support for the formation of collaborative research groups and activities within and across partner organizations. Other important responsibilities include organizing maintaining communication with partners, and the administrations of the organizations benefiting from the QCBS researchers results.

Primary Responsibilities:

Prepare the annual activity plan and budget to be submitted to the Executive Committee. Prepare documentation prior to the general assembly and for the Scientific Committee meetings).  

Perform post meeting follow-up by taking the necessary actions to implement, research specific requests and follow-up on decisions taken with Committee members. Develop timeframes and mandates made by the Executive Committee decisions and ensure that deadlines will be respected.

Manage the administrative and financial services of the Quebec Centre for Biodiversity Science.

Manage the submission of the necessary administrative and financial documents to Fond de Recherche du Quebec – Nature et Technologie (FRQNT) and other funding contributors.  Monitor the efficiency and analyze the costs of the QCBS activities (symposium, research and training workshop Prepare the QCBS technical and annual report.

Ensure close liaison between QCBS members to ensure optimum use of resources available to members. Liaise with funding agencies, partners and the Office of Sponsored Research to maximize funding opportunities for QCBS members.

Provide guidance and advice to QCBS members on the preparation of proposals, applications and procedures. Negotiate contracts and approves agreements between the QCBS or QCBS members and partner organizations funding joint projects.

Promote the centre and the research findings of its members through the development of specific events (e.g. conferences, open house). Develop the theme of the event, contact speakers and presenters. Work with professors regarding the development of the agenda and guest speakers’ contributions. Write material for the website, produce posters, brochures, etc.

Manage the FRQNT database eRegroupement for updates on changes in membership and budget.

Hire and supervise staff and the research professionals contribution to the functioning of the QCBS

Liaise with the QCBS students for the excellence award program (EA), the biodiversity science discovery award program (BSDA) and the Learning Development award (LeaDa)



Other Qualifying Skills and/or Abilities

Extensive knowledge of project management fundamentals and financial management.

Experience with managing multiple projects and managing deliverables.

Leadership skills and able to management a team.

Strong interpersonal skills and experience working effectively with multiple stakeholders. Excellent communication, writing, documentation, and planning skills.

Self- motivated with the ability to work well with multiple, cross-functional teams.

Strong focus on delivering results to meet the business needs.

Experience in coaching and mentoring is an asset. Proven ability to translate company vision into project vision.

Strong ability to identify issues and make timely decisions.

Team player with the ability to exercise good judgment in a rapidly changing environment.

Ability to manage effective teams is an asset.

Proficiency with computerized application including Microsoft Office Suite.

Demonstrated oral and written communication skills in both English and French.

Knowledge of French and English: McGill University is an English-language university where day-to-day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 on a scale of 0-4.
