The MBA Program Office at Mays Business School is looking for a proactive, detail‑driven Program Coordinator who thrives in a dynamic academic environment focused around supporting student success. What You Need To Know
Salary: $48,000 - $55,000/annually

Other Requirements and Factors:
+ Very occasional evening and weekend work is required to support recruiting events and class related activities.
+ Requires office based work with extended periods at a computer and standing or moving during events; occasional setup and breakdown of materials and supplies for program and recruiting events. Ability to move tables and chairs for event set up and lift boxes up to 35 lbs.
Essential Duties/Tasks
Program Operations and Student Services
+ Assists with the coordination and management of MS Business Program processes, materials, and student services.
+ With direction, manages all MS Business events including corporate visits, recruiting sessions, program events, orientation, and graduation including sourcing, contracting, and scheduling vendors.
+ Coordinates the one‑year calendar for classes and co‑curricular content by drafting timelines, tracking deadlines, and preparing materials for registration, payments, degree plans, graduation, and other program activities, for review by the Associate Program Director.
+ Assists with and executes day‑to‑day logistics for classes and events, including room requests, catering requests, materials distribution, LMS content loading, and communication of schedules and expectations to students, staff, faculty, and other stakeholders.
+ Serves as a front‑line contact for inquiries, responding to routine questions and escalating complex issues to the Associate Program Director as appropriate.
Academic and Enrollment Processes
+ Prepares and processes routine student registration actions (adds/drops, Q‑drops, withdrawals, and grade changes) in coordination with the Associate Program Director and in accordance with university policies and deadlines.
+ Maintains student records, tracks key milestones (degree plans, forms, approvals), and assists with monitoring academic progress and probation communications by drafting notices and maintaining tracking logs.
+ Assists with building and maintaining online program sites and learning management system areas for students and faculty, including uploading materials, updating information, and monitoring access.
Recruiting and Admissions Support
+ Coordinates logistics for MS Business recruiting events (on‑campus, virtual, and limited off‑campus), including scheduling, room/venue requests, event set‑up, materials, and follow‑up communications.
+ Supports prospect and applicant communication by sending standard emails, responding to routine inquiries, and scheduling appointments and interviews.
+ Maintains prospect and application tracking tools or databases, runs basic reports, and prepares application files and summaries for review by the Associate Program Director and admissions committees.
+ Assists with onboarding and orientation logistics for admitted students, including checklists, schedules, communications, and event coordination.
Budget, Purchasing, and Administration
+ Processes routine purchases and reimbursements in accordance with established procedures and budget parameters set by the Associate Program Director.
+ Tracks event and program expenses, maintain supporting documentation, and prepares basic budget or expense reports for review.
+ Assists with vendor coordination, course material logistics, and other administrative tasks needed to support MS Business program operations.
Supervision and Other Duties
+ Creates and curates social media content for multiple platforms.
+ Assists with hiring, training, scheduling, and providing day‑to‑day guidance to student workers or graduate assistants supporting MS Business operations and events.
+ Coordinates and monitors student worker tasks to ensure coverage of front‑line service, event support, and routine program duties, escalating performance concerns to the Associate Program Director.
+ Performs other duties as assigned to support MS Business Program goals.
Qualifications
Required Education and Experience
+ Bachelor’s degree or equivalent combination of education and related experience.
+ One year of related experience in program coordination, student services, recruiting/admissions, event coordination, sales/purchasing, or administrative support.
Preferred Qualifications
+ Experience coordinating events or programs that require complex logistics and stakeholder communication.
+ Experience with social media planning, content creation, and rise in engagement.
+ Experience with student information systems, learning management systems, and customer relationship management or prospect tracking tools.
+ Experience with Microsoft Excel, Outlook, or similar software.
+ Experience in higher education.
+ Experience working with Vendors.

+ Strong customer service orientation and interpersonal skills for working with students, faculty, staff, and external partners.

+ Organizational skills with strong attention to detail and the ability to track deadlines, logistics, and multiple projects simultaneously.
+ Knowledge of word processing, spreadsheet, database, and presentation applications.
+ Ability to learn and use university systems (e.g., student information systems, learning management systems, purchasing systems) as needed.
