Position Summary:
We have an exciting opportunity to join our team as a Program Coordinator.
In this role, the successful candidate We have an exciting opening for a Program Coordinator position within the Ronald O. Perelman Department of Emergency Medicines Research Division. In this role, the successful candidate will work under the direction of the Assistant Director for Research to provide administrative support and coordination for the division. The Program Coordinator will be responsible for a multitude of programmatic and administrative activities including setting up and maintaining organizational processes, assisting with the pre-award federal and non-federal grant application components, assisting with IRB submissions, training new department members on research processes, preparing presentations and monthly reports for leadership, helping manage internal and external communications regarding division activities, assisting with financial transactions and more.
Job Responsibilities:
1.Demonstrates knowledge of the organizations Core Values and incorporates them into the performance of duties.
2.Grants Assists in pre-award grant related activities such as developing components of grants applications, letters of support, Other Support documentation, maintaining faculty biosketches, human subjects documents and assisting non-research faculty in the grants submission process. Partners with the pod in collecting and organizing required paperwork for submission of the grant. Follows up and coordinates resolution of all issues.
3.Post-Award- Facilitates tracking/monitoring of subaward agreements. This includes tracking contract execution process, reviewing partially executed and executed subcontracts to ensure accuracy against budget and budget period, maintaining subaward trackers for PIs, and liasing with the contracts team as necessary. Manages the consultant agreement process by drafting/modifying statement of work agreements and monitoring the execution process. SPA/POD Coordination- facilitates biweekly meeting with the department, SPA, and POD to ensure coordination across each entity.
4.Research Activities Provides guidance on the IRB submission process for non-research faculty members and assists in submitting IRBs for research faculty as needed. Provides robust trainings to new research staff members and faculty on the IRB submission process. Assists with continuations, modifications and close-outs as needed.
5.Project/Program Coordination- Provides moderate to advanced coordination for Project/Program activities to manager that includes but not limited to: coordination of Project/Programs while working/communicating with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude Project/Programs activities. Might evaluate and make recommendations based on analyses, observation and or feedback. Develops Project/Program schedules, oversee Project/Program purchase requisitions, travel reimbursements and invoice payments. Assists in developing departmental plans, goals, objectives, policies and procedures. Makes recommendations for improvement in administrative process.
6.Reports Prepares and review documents independently and generates status/progress reports for ongoing and pending Project/Programs. Plans, arranges, outlines and drafts letters, memos,
agendas presentations and reports. Reviews, edits and obtains appropriate approvals. Responds to more complex correspondence and refers the more complex issues with recommendation to manager. Follows protocols as defined by the grant and institutions policies and procedures.
7.Project/Program Support – Assists in the onboarding and training of clerical staff, assistants, trainee and volunteers for the Project/Program/department. Directly supervises the Administrative Assistant in all responsibilities including Facilities Management, mail distribution, and scheduling. Reviews workflow and recommends improvement if applicable to ensure appropriate cycle times and efficiency.
8.Participates in special Project/Programs and performs other duties as required.
Minimum Qualifications:
To qualify you must have a Bachelor’s degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.
Preferred Qualifications:
Project/Program management experience preferred.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $64,350.00-$70,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
